This is a high-visibility role where you’ll partner directly with the Owner to manage day-to-day operations, streamline communication, and ensure nothing falls through the cracks.
What We're Looking For:
A highly organized, detail-oriented Personal Assistant to act as the right-hand to the Owner in all aspects of apparel buying and daily operations. This role is both strategic and administrative, acting as a key partner in managing the buying process, vendor relationships, and day-to-day workflow. The ideal candidate thrives in a fast-paced retail environment, anticipates needs, and ensures seamless execution across all touchpoints.
What You'll Do:
- Provide direct administrative and personal support to the Owner, including managing schedules, priorities, and day-to-day workflow.
- Coordinate meetings, appointments, and travel arrangements; ensure the Owner is prepared with all necessary materials and information.
- Act as a gatekeeper and liaison between the Owner and internal teams, vendors, and external partners to address requests and ensure follow-through.
- Manage email correspondence, follow-ups, and task tracking to ensure timely responses and completion of priorities.
- Organize and maintain reports, documents, and business records for easy access and accuracy.
- Assist in preparing presentations, summaries, and materials for meetings and business reviews.
- Handle ad hoc requests, errands, and special projects with a high level of discretion and urgency.
- Support internal communication by ensuring alignment across departments on key initiatives and deadlines.
- Manage sample workflow, including vendor communication, shipment tracking, and organization of sample materials.
- Create and maintain product catalogs, price sheets and vendor contacts.
- Support vendor onboarding, product setup, and ensure accuracy of all item and pricing information.
- Assist with scheduling, prioritization, and general administrative support to maximize the Owner’s efficiency.
- Anticipate needs, proactively solve problems, and ensure smooth execution of both routine and high-priority tasks.
What You Bring:
- 2+ years of experience in administrative support, buying coordination, or retail operations.
- Strong proficiency in Microsoft Office, especially Excel.
- Experience in apparel or soft lines retail strongly preferred but not required.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced, high-volume environment.
- Strong communication skills, both written and verbal.
- Resourceful, proactive, and solutions-oriented mindset.
- High level of discretion and professionalism when supporting executive leadership.
- Interest in apparel buying, merchandising, or retail operations growth.
Scheduling Requirements / Working Conditions: Up to 45 hours per week
- 8-hour shifts
- 100% onsite
- Regularly spend long hours sitting and using office equipment and computers.
- Flexibility to work non-standard hours to meet critical deadlines
- Possible travel with store employees to support business needs.
