Personal Assistant to the Vice President

Job Description: We are seeking a highly organized, proactive, and discreet Personal Assistant to support the Vice President. The ideal candidate will have at least 5 years of experience assisting C-level executives in the UAE, demonstrating exceptional administrative, communication, and coordination skills. This role requires someone who can manage complex schedules, maintain confidentiality, and act as a trusted liaison between the Vice President and internal/external stakeholders.

Duties & Responsibilities:

Executive Support

  • Provide comprehensive administrative support to the Vice President.
  • Manage and maintain the VP’s calendar, appointments, and travel arrangements.
  • Organize and coordinate meetings, conferences, and executive events.
  • Prepare meeting agendas, presentations, minutes, and follow-up action items.
  • Screen and prioritize incoming communications including emails, calls, and correspondence.

Communication & Coordination

  • Serve as the primary point of contact between the Vice President and internal departments, clients, and external stakeholders.
  • Draft professional correspondence, reports, and presentations on behalf of the VP.
  • Coordinate cross-functional meetings and ensure timely follow-ups on key initiatives.

Travel & Logistics

  • Arrange domestic and international travel, including visas, flights, accommodations, and itineraries.
  • Manage travel expense reports and related documentation.

Administrative & Operational Support

  • Maintain confidential files, records, and documentation.
  • Assist with preparing business reports, presentations, and executive summaries.
  • Track key projects and ensure deadlines are met.
  • Support event planning and executive-level meetings.

Confidentiality & Professionalism

  • Handle sensitive information with high levels of confidentiality and discretion.
  • Act as a trusted gatekeeper for the Vice President’s office.

Qualifications:

· Bachelor’s degree in Business Administration, Management, or a related field (preferred).

· Minimum 5 years of experience as a Personal Assistant or Executive Assistant supporting C-Level executives in the UAE.

· Proven experience managing complex executive schedules and high-level stakeholders.

Skills & Competencies:

  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Ability to prioritize tasks and work under pressure.
  • Strong attention to detail and problem-solving ability.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with travel coordination and executive reporting.
