Job Summary
We are seeking a highly organized and proactive Personal Executive Assistant to provide comprehensive administrative support to a busy executive. This dynamic role involves managing calendars, coordinating projects, handling correspondence, and ensuring smooth daily operations. Duties
- Manage and maintain the executive’s complex calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Coordinate and plan events, meetings, and conferences, including venue selection, logistics, catering, and materials preparation.
- Provide executive administrative support such as drafting correspondence, proofreading documents, transcribing notes, and preparing reports.
- Handle phone etiquette professionally across multi-line phone systems; screen calls and direct inquiries appropriately.
- Oversee office management tasks including filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
- Perform clerical duties such as data entry, filing, photocopying, and organizing electronic files for easy retrieval.
- Assist with project coordination by tracking deadlines, preparing agendas, and following up on action items.
- Utilize office software like Microsoft Office Suite (Word, Excel), Google Workspace tools (Docs, Sheets), and DocuSign for document signing processes.
- Support personal errands or tasks as needed to ensure the executive’s day runs smoothly.
Qualifications
- Proven experience as a personal or executive assistant with strong office management skills.
- Excellent organizational skills with keen attention to detail; capable of managing multiple priorities simultaneously.
- Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), QuickBooks for bookkeeping, and familiarity with multi-line phone systems.
- Strong typing skills along with transcription and proofreading abilities.
- Experience in event planning and project coordination is highly desirable.
- Exceptional communication skills with professional phone etiquette and customer service orientation.
- Demonstrated ability to handle confidential information discreetly and maintain professionalism at all times.
- Familiarity with office equipment such as scanners, printers, and data entry tools is preferred.
