Personal Injury Legal Assistant and Settlement Specialist

We are seeking a highly organized and detail-oriented Personal Injury Legal Assistant and Settlement Specialists (2 positions) to provide vital support to attorneys and settlement teams by managing settlement-related tasks and ensuring the efficient processing of legal claims. This role involves handling settlement documentation, maintaining accurate records, and communicating with clients, third parties, and medical lien providers to assist in the resolution of settled case files. One position is focused on Pre-litigation and the second position is on Litigation.

The Personal Injury Legal Assistant and Settlement Specialists will initiate the disbursal of funds to clients, lienholders, and providers after verifying that all billing verifications, expenses, and final liens are accurately recorded in the medicals, liens, and expenses tabs, as well as on the Settlement Memo. They will also ensure that the Settlement Memo has received the attorney’s approval.

The ideal candidates have personal injury experience and are detail-oriented, highly organized, and capable of managing multiple tasks in a fast-paced legal environment. Strong communication and interpersonal skills are essential for effective interaction with clients, attorneys, and court personnel. This position will report into the Pre-Litigation and Settlement Manager.

Depending on experience, this job starts at $25 an hour.

Specialist Key Responsibilities

Settlement Documentation & Client Authorization:

  • Send settlement acceptance letters and releases to adverse insurance or opposing counsel, along with AJ Law's W-9.
  • Obtain the client's signature on all required releases, either in person or via VineSign.
  • Confirm that the property damage (PD) claim has been fully resolved before sending the release to the adjuster or opposing counsel, as unresolved PD claims cannot be revisited.

Check Processing & Lien Verification:

  • Contact adverse insurance or opposing counsel to obtain the check status and check details.
  • Perform a county lien search to check for recorded liens against clients.
  • Verify all medical provider lien balances.
  • Confirm that the final health insurance (HI) lien has been noted and received; if not, follow up to obtain it.
  • Dispute any unrelated lien charges, if necessary, from the final lien itemization.
  • Verify any settlement loans, then obtain loan payoff amounts in writing.

Settlement Memo & Attorney Approval:

  • Ensure all pre-litigation and litigation expenses have been entered in the Expenses tab and noted on the Settlement Memo.
  • Obtain attorney approval from lawyers that the Settlement Memo has been reviewed and approved and that the percentages for reductions have been entered.

Lien & Reduction Requests:

  • Assist with sending out reduction requests and final lien requests, ensuring timely follow-up until written approvals and W-9 forms are received.
  • Negotiate reductions with medical lien providers, lienholders, and loan offices to maximize the client’s net settlement amount.

Settlement Check Processing & Disbursement:

  • Monitor and follow up on the status of settlement checks to ensure timely processing and completion.
  • Finalize the settlement memo and send it to the client for review and approval.
  • Coordinate with accounting to confirm that all payments are processed accurately, verifying payee names, mailing addresses, account numbers, and amounts.
  • Disburse checks to clients either in person or by mail, then ask clients to rate the services they’ve received.

Record-Keeping & Compliance:

  • Successfully complete all assigned tasks within established deadlines, maintaining a high level of accuracy and attention to detail.
  • Keep organized records of all settlement-related correspondence, documents, and transactions, ensuring that files are complete and updated regularly.
  • Upload the signed Check Pickup Packet in File Vine, then task Accounting to review the file for archiving.

Client & Stakeholder Communication:

  • Interact professionally with clients, attorneys, insurance companies, and other parties involved in settlements to facilitate smooth communication and resolution of issues.
  • Provide clients with regular updates on the settlement process via email, phone, or text.

Qualifications

  • Bachelor’s Degree (Preferred) – A degree in Legal Studies, Business Administration, Finance, or a related field is preferred.
  • Paralegal Certification (Optional).
  • Personal injury law experience is required.
  • Relevant Legal Training – Experience with legal settlements, negotiations.
  • Three years of experience in handling settlements.
  • Strong organizational skills with the ability to manage complex cases in a fast-paced legal environment.
  • Strong problem-solving skills and attention to detail.
  • Able to read and review detailed documents, spreadsheets, and computer screens for long periods to ensure accuracy in settlement processing.
  • Ability to collaborate effectively with attorneys and other departments
