Position Overview

The Photography & Order Processing Executive is responsible for capturing high-quality product images of Gold & Precious Metals jewelry items, editing and maintaining product databases, processing customer orders, coordinating with the sales team, and ensuring accurate and timely flow of information between production, sales, QC and dispatch. The role requires attention to detail, speed, accuracy, and strong coordination skills within a fast-paced jewelry manufacturing environment.

Key Responsibilities

A. Product Photography & Visual Content Management

  • Capture high-quality images of gold & precious metals jewelry products including bangles, rings, chains, pendants, bracelets, casting items, etc.
  • Set up and manage photography equipment such as DSLR/mirrorless cameras, macro lenses, lighting setup, lightbox, stand, and background sheets.
  • Ensure proper angle, clarity, lighting, and close-up detailing for all SKUs.
  • Style and position jewelry items for optimum visual presentation.
  • Perform photo editing, retouching, color correction, background cleaning, dust removal, and image enhancement using Photoshop or similar tools.
  • Prepare images in multiple sizes/formats for catalog, WhatsApp, website, marketplace, and internal system upload.
  • Maintain a well-organized digital image library, properly labelled and sorted by SKU, category, order type, and date.
  • Ensure timely upload of images into ERP/system, sales folders, online catalogues, and internal databases.
  • Coordinate with designers and production team if product samples need re shooting or detailing correction.

B. Product Catalogue & Database Management

  • Update and maintain product master data, SKU details, gold purity, weight, making charges, stone/diamond details (if applicable), and other attributes.
  • Create and update digital catalogue folders, SKU codes, pricing files, and product groups.
  • Ensure images and data are accurately synced with internal software (ERP), sales drive, and customer-specific folders.
  • Regularly update: Stock availability, New arrivals, Newly manufactured items and Out-of-stock/ discontinued items
  • Maintain database accuracy and troubleshoot mismatched or missing product information.

C. Order Processing Responsibilities

  • Receive customer orders (email/WhatsApp/ERP) and verify product codes, weights, quantities, pricing, and specifications. In absence of any critical information, must liaise with ordering party.
  • Enter orders accurately into ERP or internal order processing system.
  • Cross-check product specifications such as: Gold purity (18K/21K/etc), Weight variation limits, Sizes (rings/bangles) and Finish type (high polish, laser texture, matt, etc.)
  • Coordinate with production team on order feasibility, manufacturing time, and special requests.
  • Issue order sheets and coordinate with production, CAD, polishing, QC, and packing departments.
  • Ensure all orders move smoothly through end-to-end cycle i.e. Order entry, Production, QC, Photography, Packing and Dispatch
  • Monitor daily progress for each order and update sales team regularly.
  • Prepare delivery notes, order status sheets, job cards, and internal documentation.

D. Sales Team Coordination

  • Communicate promptly with Production & Sales team regarding: Order clarifications, Weight tolerance confirmations, Delivery timelines, Pricing corrections and Urgent orders or priority requirements
  • Share images, updated catalogues, stock availability, and new product highlights with sales team.
  • Prepare and send customer-specific catalogues when required.
  • Assist sales in retrieving old product images, identifying SKUs, or confirming availability.
  • Respond to urgent requests during exhibitions, seasonal periods, and wholesale orders.

E. Production & Interdepartmental Coordination

  • Coordinate with production for manufacturing timelines and raw material requirements.
  • Follow up on each order until completion and escalate delays immediately.
  • Work closely with: QC team for final approval, packing team to ensure items match order lists and Dispatch/logistics team for booking shipments
  • Manage return-to-production issues for items requiring re-polish, size correction, or remake.

F. System Handling, Reporting & Documentation

  • Maintain daily production reports, order status reports, and inventory movement records.
  • Update the ERP system or internal software with latest: Completed orders, pending production, Rejections/returns and New SKU entries
  • Prepare Excel reports including: Daily order summary, Sales team request logs, Image upload logs and Order dispatch summary.
  • Generate weekly and monthly MIS for management review.
  • Ensure documentation is filed systematically for audit and traceability.

G. Quality Control Support

  • Compare finished product with ordered specifications before photography.
  • Identify defects (scratches, dent, polish issues) and coordinate reworks.
  • Ensure only final QC-approved items are photographed and posted.

H. General Administrative Responsibilities

  • Support in sample handling, jewelry item receiving and returning from production.
  • Maintain the photography area, equipment, and tools in proper working condition.
  • Keep confidential data protected and secured.
  • Assist in exhibition preparations and product catalog creation.
  • Any other related tasks as required by management.

Skills & Qualifications

  • Strong knowledge of product photography (macro shots)
  • Advanced Photoshop / Lightroom skills
  • ERP / jewellery software experience (preferred)
  • Excellent Excel reporting skills
  • Strong coordination and follow-up skills
  • Knowledge of gold jewelry manufacturing processes
  • Accuracy and attention to detail
  • Ability to work under pressure and tight deadlines

Reporting Structure

  • Reports to: Production Manager / Sales Manager
  • Coordinates with: Sales Team, Production Dept, QC Team, Packing & Dispatch

Job Type: Full-time

Pay: AED2,500.00 - AED3,000.00 per month

Education:

  • Bachelor's (Preferred)

Experience:

  • Photography: 3 years (Preferred)
  • Photoshop Editing: 3 years (Preferred)
  • Order Processing Operation: 3 years (Preferred)
  • Customer Service: 3 years (Preferred)
