Job Location – Pecos, TX (Reeves County Recreation Center – “The Rec”)

Reports to: Physical Therapy Director

Position Overview:

Seeking dynamic individual for a Physical Therapy Receptionist role working with various populations and clientele at our state of the art and newly constructed Recreation Center. The Rec will pioneer and promote the integrated health model in providing a seamless integration of performance training, fitness and wellness, nutrition, rehabilitation, recovery, child care, and recreational sport activities all under one roof.

The Rec is based on a fluid and fast-paced professional team environment where all staff are required to wear multiple professional hats, and work within a highly supportive team environment. All staff are required to be highly professional, supportive, respectful, and valued for their unique talents and experience at all times.

Responsibilities and job functions include, but are not limited to:

  • Assist in all aspects of the Physical Therapy Department, as directed by the Physical Therapy Director, and as per the Rec’s policy and procedures.
  • Enthusiastically greet and direct members, guests, and staff as they enter/exit the PT Suite.
  • Assist with check-ins, check-outs, ensure completion of appropriate paperwork, and process all payments and/or co-payments.
  • Assist with scheduling, both in-person and over the phone, and coordinate with other departments accordingly.
  • Assist in the daily processing and management of billing and collections, including accounts receivable and accounts payable.
  • Perform routine verification of insurance and obtain routine authorization/referrals from payors and/or providers.
  • Perform specified clerical support functions, including entering all data entry of records, patient demographics, and insurance information into the computer.
  • Assist with client retention and bringing in new clients by making cold calls, visiting clinics, hospitals, and businesses to bridge relationships and create referrals, etc.
  • Answer and route all phone calls in a positive and efficient manner.
  • Maintain a thorough knowledge of the Rec's various integrated services, programs, and staff.
  • Collaborate and work in a holistic team environment that includes Performance and Fitness, Nutrition, Physical Therapy, Massage, Aquatics, Child Care, and Recreational Sports.
  • Help ensure the health, safety, and well-being of all members and guests in and out of the PT Suite.
  • Assist in the daily cleaning, stocking, and maintenance of the PT Suite, including maintaining documentation and preventative maintenance of all related areas, supplies, and equipment.
  • Participate in staff education covering all aspects of the Rec's methodology.
  • Help develop fliers, brochures, advertisements, etc. to promote the various integrated programs and services.
  • Help conduct various client engagements, educational activities, and events.
  • Act as a professional liaison of the Rec and provide a warm and welcoming environment for all members and guests.
  • Follow established policies and procedures set forth by the Executive Director.
  • Take on added role as needed and determined by Executive Director.
  • Maintain professional credentials as required, including but not limited to, attending necessary continuing education courses.
  • Cross train with other departments within the Rec’s purview.
  • Some travel may be required.

Physical Requirements:

Candidates applying for this position should be comfortable in various environmental conditions and be able to lift at least 50 pounds unassisted repeatedly throughout the workday. The physical requirements of this job require frequent standing, walking, demonstrating, and assisting as needed.

Qualifications:

Required:

  • Professional experience as a Receptionist, Administrative Assistant, etc.
  • High School Diploma or GED.
  • Certified First Aid & CPR w/ AED by American Red Cross (will certify in-house).
  • In-depth knowledge of all local, state, and federal laws and regulations pertaining to HR, Accounting, HIPPA, Health Benefits, Medical Billing and Coding, Compliance, etc.
  • Demonstrate energy and passion for helping others achieve their personal goals.
  • Strong customer service skills where servicing the “client” is top priority.
  • Excellent computer skills including MS Office or related products.

Preferred:

  • Experience in a Recreation, Gym, Clinic, or Health Club environment.
  • Actively pursuing a Bachelor's in a related field from an accredited university.
  • Certifications in HIPPA, Medical Billing and Coding, Compliance, etc.
  • Background and experience in working with various clientele and populations.

Classification:

  • This is a full-time non-exempt (FTNE) position.

Pay:

  • Starting pay at $15-$18 per hour.
