Serves as Coordinator to department activities in assigned area and reports to Head of Physiotherapy.
Assists department head by performing secretarial duties and selected administrative tasks, this position may served as the departmental receptionist/coordinator where required.
Prepares routine correspondence and routes completed correspondence for signatures. Reviews outgoing correspondence for proper format, enclosures, grammar, etc.
Receives, sorts and distributes incoming mail.
Receives telephone calls and visitors, answers routine questions, takes messages. Refers other matters as appropriate. Communicate and coordinate on appointments.
Receives and consolidates information/reports from subordinate organizational areas, and assists in the preparation of routine planning and programs reports.
Secures and presents information as requested from files, or other sources.
Creates, maintains information and filing systems, records and indexes, including follow-up and confidential matters.
Makes tentative appointments for department staff and others as required.
Ensures the provision of the optimal level and quality of office equipment (Computers, printers, photocopiers and Fax Machines, etc.) and the appropriate levels of consumable office supplies.
Develops and coordinates the Quality Improvement Program within his/ her area of responsibilities.
Fully aware and actively implement the departmental policies and procedures, and national and international standards or requirements related to the department.
Actively involves in indicator development, data collection for the department and to measure the performance of the function, process, and outcome. Whenever required, conducts analysis and interpretation of data/information collected.
Participate in hospital Safety Management & Risk Management Programs. Actively reports incidents in the system and whenever needed, participates in incident review, and root cause analysis.
Perform other applicable tasks and duties assigned within the range of his/her knowledge and skills as directed by Head of Physiotherapy.
Two years experience in a similar job
