Parts Manager (Pierre Ford / CDJR)
Position Summary
The Parts Manager oversees all operations of the Parts Department for a franchised new car dealership. This role is responsible for ensuring proper inventory levels, driving revenue and profitability, maintaining manufacturer compliance, delivering exceptional internal and external customer service, and managing a team of parts professionals. The Parts Manager ensures efficient parts operations to support service, wholesale, and retail customers in alignment with dealership goals.
Key Responsibilities
1. Leadership & Management
- Lead, train, mentor, and develop the parts team, including counter staff, shipping/receiving, drivers, inventory specialists, and advisors.
- Establish performance expectations and administer coaching, accountability, and performance reviews.
- Maintain a positive and productive departmental culture.
2. Operational Excellence
- Manage daily parts department operations, including retail, wholesale, internal, and warranty parts flow.
- Ensure timely fulfillment of parts for Service and retail customers.
- Maintain proper staffing levels to ensure operational coverage.
3. Inventory Control
- Maintain optimal inventory levels based on manufacturer guidelines and dealership needs.
- Conduct regular cycle counts and annual physical inventory.
- Review aging inventory and implement strategies to minimize obsolescence.
- Adjust orders based on sales trends and seasonal demand.
4. Financial Performance
- Achieve departmental sales, gross profit, and expense objectives.
- Monitor and manage parts gross profit margins, discounts, and parts matrixing strategies.
- Ensure accurate processing of invoices, credits, returns, cores, and backorders.
- Prepare monthly financial forecasts and review variances with management.
5. Manufacturer & Compliance
- Maintain full compliance with franchise/manufacturer parts programs, policies, and reporting requirements.
- Ensure proper handling of warranty parts, return procedures, and documentation.
- Participate in manufacturer audits and correct any compliance issues promptly.
6. Customer Service
- Maintain high customer satisfaction ratings for internal, retail, and wholesale accounts.
- Resolve customer issues promptly and professionally.
- Build strong relationships with technicians, advisors, body shops, and wholesale clients.
7. Process & Continuous Improvement
- Implement processes that increase efficiency, reduce waste, and maintain strong internal controls.
- Ensure proper use of the DMS, parts catalog systems, and manufacturer ordering platforms.
- Monitor and improve parts fill rate, accuracy, and timeliness.
Required Qualifications
- Minimum 3–5 years automotive parts experience; 2+ years in a supervisory or management role preferred.
- Strong knowledge of dealership DMS (Reynolds & Reynolds).
- Comprehensive understanding of manufacturer parts programs and ordering systems.
- Strong leadership, communication, and problem-solving abilities.
- Proven ability to manage inventory, financial performance, and customer relationships.
- Valid driver’s license with acceptable driving record.

Work Environment
- Primarily indoors in a dealership parts department environment.
- Frequent interaction with technicians, advisors, customers, and manufacturer reps.
- May require occasional lifting of up to 50 lbs.
