Planner - Maintenance CM

JOB PURPOSE

To support the area leadership to action the Departmental maintenance program by coordinating activities including movement of equipment in and out of service and replenishment of spare parts inventory and external services.


RESPONSIBILITIES

3.1 To support the Area leadership to action the Departmental maintenance program by planning and coordinating Area activities Co-ordinate the weekly maintenance schedule:

  • Review the weekly planned, preventative maintenance schedule in SAP.
  • Update and expand the plan Assess man-hour and equipment availability. Liaise with the internal clients (Operations Supervisors and others) to ensure equipment is released on time. Liaise with SCM, the Maintenance Supervisors, Superintendents and Production Officer to ensure the necessary materials and services are in place to execute the plan on time and on budget. Take action to ensure all requirements are in place.
  • Plan and replan work to address contingencies.
  • Manage expectations within the Operations areas.
  • Maintain the bill of materials database and standard job plans. Manage the Work Orders bank.
  • Prepare equipment inspections plans in a timely fashion and to the required standards.
  • Accurately load data related to maintenance programs and update the plans in SAP.
  • Deliver timely, accurate information and reports to Maintenance, Operations and SCM.
  • Prepare and monitor Maintenance KPI’s on a weekly basis and keep Maintenance leadership informed.
  • Inspect and receive material.
  • Optimize resources needed for shut down (time and money).
  • Document control:
  • Maintain an accurate, current database of equipment drawings, documentation and maintenance schedules. Ensure accurate version-control.
  • Apply technical knowledge and skills to review and update Standard Operation Procedures (SOPs) and documentation.
  • Implement initiatives to address inconsistencies in documentation and practices. Recommend improvements to policy and practice.

3.2 Administer the Spare Parts Plan: To ensure minimal down-time through a ready supply of quality, correct spare parts, and, to minimize cost by ensuring inventories are not over-stocked

  • Prepare, monitor and update the spare parts plan.
  • Coordinate materials supply including supply of spare parts, tools and general equipment. Ensure that the material is delivered on time; inspect and validate deliveries; take remedial action if necessary.

Vendor management:

  • Prepare the Scope of Work; brief Vendors; evaluate and make recommendations concerning. the awarding of the work. Recommendations are in consultation with Maintenance Leadership with Superintendent having final decision.
  • Notify Supply Chain of the outcome of decisions. (Supply Chain will commit the work).
  • Orientate Vendors (conduct site tours and requirements briefings); educate the Vendors on the organization and its needs; support the Vendors to develop their capability to meet SA’s evolving needs.
  • Train team on SAP data input.
  • Develop local vendors in consultation with SCM to deliver a ready supply of quality spare parts and services and to replace imports.
  • Inspect and validate work. Prepare Vendors' close-out certificates; approve Vendors' invoices. Action the service entry in SAP.
  • Identify and recommend appropriate Vendors to meet the future needs of SA.

Administration

  • Liaise with Supply Chain to provide technical advice and to ensure materials are in stock.
  • Liaise with Finance to action procurement and invoice settlement.

3.3 Collate, analyses and report data to support management’s monitoring and controlling of the maintenance plans. Deliver analysis and reports on:

  • The efficiency of the planned maintenance team.
  • Amount and timing of equipment down-time for preventative maintenance.
  • Cost of implementing the maintenance plan.
  • Maintenance progress against targets; recommend action to improve performance.
  • Number of planned jobs verses the total number of jobs.
  • Cost of shut-down.

3.4 Monitor and control the preventative maintenance budget (opex and capex). Make recommendations to continuously drive improved financial performance.

  • Monitor performance against budgets. Identify areas of unsatisfactory performance and recommend action to rectify.
  • Identify opportunities to improve.
  • Assist with the development of the PM and spares budgets.

3.5 Action the SA Environment, Health & Safety (EHS) routines to maintain high EHS standards

  • Action regular inspections to ensure safety. Raise notifications.
  • Embedded the SA EHS standards in the Maintenance work plans.
  • Ensure compliance with all EHS management procedures and controls to guarantee employee safety, legislative compliance and, delivery of high-quality products and services and a responsible environmental attitude.
  • Participate in safe start meetings.


QUALIFICATIONS

  • A Degree in Engineering with 5 years of relevant experience,
  • Knowledge of the equipment and the maintenance procedures as well as strong knowledge of SAP Maintenance planning.
  • Technical Expertise: knowledge of maintenance plans and scheduling in SAP
  • Reporting: Proven ability to develop and present maintenance reports and analysis to management.
