Plant Operations Administrative Specialist

The Plant Operations Administrative Specialist coordinates and lends administrative oversight to the Home Office functions of the Plant Operations department. Works to schedule, document, and manage workflows that support productions, maintenance, and the safety team. Provides administrative support to the Vice Presidents of Plan Operations by establishing and maintaining efficient and organized day-to-day operations.

  • Hybrid remote schedule - Works in the office Tuesday through Thursday and from home Mondays and Fridays. Due to the nature of this position, the person in this role must be available to come into the office Mondays or Fridays as needed.

What you will do:

  • Provides ongoing support to the VP of Plant Operations and Capital Expenditures and implements improvements to administrative processes, increasing efficiency, accuracy, and continuity of plant operations.
  • Assists communities with questions regarding cap-ex or maintenance systems and creates quick-step guides and job aids.
  • Organizes and maintains SharePoint folders and documentation for the department.
  • Gathers and tracks Maintenance Specialist schedules – checking the online payroll portal for proper community allocations.
  • Sends CapEx workflow and approval reminders, and enters and processes related invoices.
  • Distributes community reminders related to effective community plant operations to include fire drills, smoke detector checks, Maintenance system recurring dates, etc. Schedules monthly maintenance meeting and creates the agenda.
  • Conducts CapEx and financial reviews and distributes Regional Vice President CapEx reporting
  • Supports communities and internal team members with fleet-related inquiries – including accidents, insurance, and gas cards. Monitor and review fleet GPS notifications and complete fleet-related projects as necessary and assigned.
  • Maintains and streamlines records, including purchase orders, work orders, regulatory documentation, inventory logs, and contractor/vendor files.
  • Assists leadership by preparing operational reports, tracking KPls, monitoring compliance requirements to ensure readiness for audits and inspections, and assisting with preparing content for training presentations.
  • Serves as a central communication hub between operations, communities, vendors, and corporate departments to ensure timely information flow and issue resolution.
  • Supports budgeting and procurement activities by processing invoices, tracking expenses, and coordinating the delivery and distribution of materials.
  • Provides front-line support to employees and contractors by coordinating onboarding, training logistics, access control, and safety compliance documentation.


What we are looking for:

  • 3 or more years supporting executive-level operations personnel
  • Senior living industry experience is a plus
  • Cheerful team player who will look for opportunities to pitch in and help with any task.
  • Experience with heavy calendar management, meeting planning, and travel arrangement
  • Excellent communication skills, including experience speaking and/or writing on the behalf of executive-level management
  • Experience with Outlook calendars, Word, Excel, and PowerPoint
  • Bachelor degree preferred
