PMV Administrator

We’re Hiring: PMV Administrator

Location: Abu Dhabi, UAE

Ali & Sons Marine Engineering Factory (ASMEF), a subsidiary of Ali & Sons Holding LLC, is a leading provider of engineering, fabrication, and ship repair services for the oil & gas and marine sectors. We are seeking a highly organized and detail-oriented PMV Administrator to manage all documentation related to plant, machinery, and vehicles, ensuring compliance, accuracy, and operational continuity.

Key Responsibilities

· Create, receive, issue, revise, control, and archive all PMV-related documents in accordance with approved procedures.

· Maintain complete and updated asset files including registration cards, insurance, permits, statutory certificates, TPI reports, calibration certificates, warranties, and manuals.

· Ensure accuracy, traceability, confidentiality, and completeness of all PMV documentation.

· Monitor validity and expiry of all statutory and regulatory documents related to plant, machinery, and vehicles.

· Ensure no equipment or vehicle is operated with expired or missing documentation.

· Coordinate with internal teams and external parties to obtain missing or renewed documents within required timelines.

· Escalate non-compliance, overdue renewals, or critical documentation gaps to PMV Lead / Manager.

· Maintain preventive maintenance (PPM) records, job cards, inspection reports, breakdown reports, and service histories.

· Ensure maintenance documentation aligns with equipment status and operational availability.

· Support operational continuity by preventing downtime caused by documentation or compliance issues.

· Prepare and submit Purchase Requisitions (PRs) related to PMV requirements as instructed by PMV Supervisor/Engineer/Lead.

· Coordinate with Procurement, Finance, and vendors to ensure compliance with company procedures.

· Liaise with regulatory authorities, third-party inspectors, and service providers regarding approvals and documentation.

· Maintain and update document control systems and asset tracking databases accurately.

· Archive obsolete or replaced asset documents as per company retention policies.

· Prepare monthly PMV reports including utilization reports, fuel consumption, ADS reports, and equipment timesheets.

· Support internal, external, and client audits by ensuring documentation is complete and audit-ready at all times.

Qualifications & Experience

· Education: Diploma or equivalent in Business Administration, Engineering Administration, IT, or related field.

· Experience: 2–5 years of experience in PMV administration, document control, or asset management within construction, fabrication, or industrial environments.

· Technical Certification: Document Control or PMV/Asset Management certification is an advantage.

· Strong knowledge of document control systems and asset tracking processes.

· Proficient in MS Office and document management systems.

· Strong organizational skills with high attention to detail and accuracy.

· Ability to manage deadlines and handle multiple documentation workflows.
