Qualifications: Must be 18 years or older at the time of employment and be able to read and write English; possess, or be able to obtain a valid Michigan’s Drivers’ License; have no disqualifying felony or misdemeanor convictions/criminal history; must be of good moral character; possess a High School Diploma and two years of general office, communications, or secretarial experience or possess a High School Diploma and be actively enrolled in a community college, college, or university course of study in relation to job description.
Duties and Responsibilities: Including but not limited to;
· Performs routine clerical and administrative work that includes answering phones, data entry, citizen assistance at front desk, and payment processing at front desk.
· Directs phone calls to dispatch, or appropriate line.
· Monitors radio traffic and updates patrol officers if/when necessary via MDC communication.
· Receives questions/concerns from the public at the front desk and if not able to answer immediately, then assists in finding the correct course of action.
· Responds to inquiries from officers and/or other employees and assists in finding information pertaining to the question/concern.
· Performs PBT’s for citizens at the front desk who are court ordered to do so.
· Collects payments at the front desk regarding; PBT’s, fingerprints, impound releases, interim bond payments, local records checks, and insurance requests for UD-10’s.
· Assist officers, Detectives, and Command in various reports, data retrieval and information gathering for departmental needs.
· Completes non-criminal and some criminal reports (not involving a known suspect) at the front desk for citizens and for LEIN entry related activities.
· Scan and attach documents (photos, video, witness statements etc.) in relation to reports and other various criminal justice information related duties.
· Maintains training and certification in necessary and required subjects that include but are not limited to LEIN, Records Management, CJIS, MICR, CLEMIS, SOR, MiPistol, UCR and records retention.
· Enters warrants, Conditional Bonds/PPO’s, Impounded/Abandoned/Stolen Vehicles, Stolen Guns/Articles, and Missing Persons into LEIN.
· Performs audits and reviews LEIN entries to ensure accuracy and timeliness.
· Reviews and audits dispositions from judgmental sentence paperwork from 52-1 District Court and 6th Circuit Court to ensure accuracy of Criminal Histories for LEIN.
· Adheres to retention schedule and keeps logs to destroy necessary records when they have reached their lifetime in the retention schedule.
· Performs monthly LEIN validations per state and federal guidelines.
· Cross checks stolen vehicles during LEIN validations and reaches out to citizens for information to update reports related to stolen vehicles and if they have been paid out by insurance or not.
· Given access to the MiCJIN portal for MSP to enter and update firearm sales records.
· Updates, enters, monitors and registers Sex Offenders within the city limits and keeps up to date knowledge of case law and state law for Sex Offender registry.
· Prepares subpoenas for trials scheduled for 52-1 District Court and the 6th Circuit Court
· Completes requests from MDHHS, CPS, and local law enforcement for reports and background investigations.
· Given access to administration rights for CLEAR/CLEMIS and has permissions to approve and send back reports, reset passwords, enter non-public status for subjects per the courts request, and update reports as necessary for accuracy checks.
· Reviews entries by PSA’s into LEIN for audit and accuracy purposes and ensures entries are within the state and federal guidelines.
· Operates and maintains GETAC functions to ensure retention and proper description of body worn and car camera recordings.
· Compiles and balances monthly receipts from payments at the front desk and maintains bookkeeping for those receipts.
· Compiles monthly prisoner log for the Records Manager to complete their monthly report for City Council.
· Elected as designee by Records Manager for responsibilities that require a designee such as for abandoned vehicles and TR-52 filing and being a liaison for towing companies, administrative duties within CLEAR/CLEMIS/GETAC/MiCJIN for report review and accuracy, liaison with other law enforcement entities including courts for misc. assistance, and QA/QI deemed necessary by Records Manager.
· Assists Records Manager with misc. duties to assist in the smooth operation of the department and addresses discrepancies and/or problem areas as they arise.
