As the Policies and Procedures Officer and a member of the Quality Assurance, Institutional Effectiveness and Accreditation team, you are expected to oversee the proper formulation, review, publication, and implementation of policies and procedures at the University of Sharjah. As well as work effectively with the concerned teams and stakeholders to help identify and develop the required policy and procedures in key areas.
1. Review and assess the current policies and procedures, define pain/risk areas, and determine the impact of introducing new or revised policies and procedures on stakeholders and existing processes.
2. Research, benchmark, and identify best practices, new developments, and improvement opportunities in the related field, and provide advice related to policy and procedure requirements to internal stakeholders.
3. Collaborate and coordinate with key individuals, departments, stakeholders, units, administrators and policy owners in order to gather the required information as well as obtain the appropriate approvals on the final documents.
4. Lead the review and discussion activities of proposed policy changes recommended by other departments, and help develop tools and techniques to facilitate updating Policies and Procedures.
5. Ensure that all related policy templates, documents and their contents are updated on a regular basis as needed. As well as ensure that the policies and procedures are entered and maintained in the designated software system.
6. Manage the policy page in the university's official website including any policy management systems to ensure policies, procedures, and web resources are accurately published and updated in a timely manner.
7. Collaborate with policy owners to identify and implement various strategies to improve the communication and awareness of policies amongst UOS's community members.
8. Organize training, workshops, orientation and awareness sessions to help communicate the approved policies and procedures to stakeholders when needed, and actively seek feedback from stakeholders to improve the support and resources that are made available.
9. Ensure that the policies and procedures are constantly in compliance with accreditation standards and UOS regulations. As well as report any matters of concern to the line manager to take the necessary actions.
10. Prepare various reports, analysis and statistics related to the Policies and Procedures unit when requested by the line manager.
11. Ensure the security, integrity and confidentiality of any incoming or outgoing information/data.
12. Complete any other job-related tasks as assigned by line manager within the expected time limit.
