We are looking for an experienced and driven Portfolio Property Manager to oversee a collection of residential apartment communities. In this role, you will be responsible for the full operational and financial performance of multiple properties, acting as the primary point of contact for residents, vendors, ownership, and on-site staff. The ideal candidate is highly organized, financially savvy, and brings a resident-first philosophy to every decision.
KEY RESPONSIBILITIES
Operations & Property Management
- Manage day-to-day operations across a portfolio of residential apartment communities
- Conduct regular site visits to each property to assess conditions, staff performance, and resident satisfaction
- Ensure all properties are maintained to company standards for cleanliness, safety, and curb appeal
- Oversee move-in and move-out processes, unit turns, and vacancy readiness
- Coordinate with maintenance staff and vendors to ensure timely completion of work orders and projects
- Enforce lease terms, community rules, and handle escalated resident concerns or disputes
- Manage the lease renewal process and implement retention strategies to reduce turnover
Leasing & Occupancy
- Monitor occupancy rates across all properties and implement strategies to maximize leasing performance
- Oversee the leasing team and ensure adherence to fair housing laws and leasing best practices
- Review and approve rental applications in compliance with company screening criteria
- Analyze market trends and comparable properties to set competitive rental pricing
- Develop and execute marketing strategies to minimize vacancy loss
Financial Management
- Prepare, manage, and monitor operating budgets for each property in the portfolio
- Review monthly financial statements and variance reports; report findings to ownership
- Approve invoices, purchase orders, and vendor contracts within authorized spending limits
- Oversee rent collection processes, delinquency management, and eviction proceedings as needed
- Identify opportunities to reduce expenses and increase NOI (Net Operating Income) across the portfolio
- Assist in preparation of annual property budgets and capital expenditure planning
Staff & Vendor Management
- Recruit, train, supervise, and evaluate on-site leasing and maintenance staff
- Conduct regular staff meetings and performance reviews; provide coaching and development
- Source, negotiate contracts with, and manage relationships with vendors and contractors
- Ensure all vendor work is completed on time, within budget, and to quality standards
Compliance & Reporting
- Ensure all properties remain in compliance with local, state, and federal housing regulations
- Maintain accurate records in property management software (Yardi, AppFolio, Buildium, etc.)
- Prepare regular ownership reports covering occupancy, financials, maintenance, and leasing activity
- Oversee property insurance requirements and ensure all documentation is current
- Stay current on landlord-tenant law, fair housing regulations, and industry best practices
REQUIRED SKILLS & QUALIFICATIONS
- Minimum 3–5 years of property management experience, with at least 2 years managing multiple properties or a portfolio
- Strong knowledge of residential leasing, fair housing laws, and landlord-tenant regulations
- Proven experience managing budgets, financial statements, and variance reporting
- Experience with property management software (Yardi, AppFolio, Buildium, or equivalent)
- Excellent communication and interpersonal skills — able to work with residents, staff, vendors, and ownership
- Strong organizational skills with the ability to manage competing priorities across multiple sites
- Demonstrated ability to lead, motivate, and hold staff accountable
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Valid driver's license with reliable transportation for regular property visits
- High school diploma or GED required; Bachelor's degree in Business, Real Estate, or related field preferred
PREFERRED QUALIFICATIONS
- CAM (Certified Apartment Manager) or CPM (Certified Property Manager) designation
- ARM (Accredited Residential Manager) certification
- Experience with value-add or repositioning properties
- Bilingual (English/Spanish) a plus
- Familiarity with capital improvement project oversight
- Experience reporting directly to private ownership or investors
