Job Purpose
To manage and coordinate company prequalification, vendor registration, and classification processes with UAE government entities, semi-government authorities, consultants, and major clients, ensuring eligibility for tenders and projects.
Key Responsibilities
Prequalification & Vendor Registration
- Prepare, submit, and follow up on prequalification documents, EOIs, and vendor registrations in the UAE.
- Handle registrations and renewals with authorities and major clients, including but not limited to:
- Abu Dhabi & UAE semi & Government portals (TAQA, Municipalities, TAMM, MOIAT, Etimad)
- ADNOC Group companies
- Abu Dhabi, Al Ain & Dubai Municipality
- Maintain company classification and grade with local authorities and consultants.
Documentation & Compliance
- Coordinate with Finance, HR, Projects, QA/QC, and HSE departments to gather required documents such as:
- Audited financial statements
- Company licenses & trade certificates
- VAT & tax compliance documents
- ISO certifications (9001, 14001, 45001)
- HSE statistics, policies, and project references
- Ensure submissions comply with UAE regulatory and client-specific requirements.
Data & Records Management
- Maintain an up-to-date prequalification database including completed projects, manpower, equipment, and financial data.
- Track submission status, approvals, expiries, and renewals.
- Manage online portals such as SAP Ariba, Oracle, Etimad, ADNOC e-Sourcing.
Coordination & Follow-up
- Liaise with clients, consultants, and authorities for clarifications and approvals.
- Support tendering teams by ensuring valid and approved prequalification status prior to bid submission.
- Identify gaps in compliance and coordinate corrective actions.
Qualifications & Experience
- Bachelor’s degree in any discipline, Engineering, or related field.
- 3–5 years of UAE experience in prequalification, tendering, or contracts.
- Strong exposure to UAE government and semi-government registration systems.
Skills & Competencies
- Excellent documentation, coordination, and follow-up skills.
- Strong knowledge of UAE regulatory and client compliance requirements.
- Proficient in MS Office and online registration portals.
- Ability to handle multiple submissions under tight deadlines.
- Strong attention to detail and confidentiality.
Preferred Requirements
- Experience in construction / EPC / oil & gas sectors.
- Familiarity with ADNOC, TAQA, Etimad, Dubai Municipality, DEWA systems.
- Familiar with any ERP system, like SAP
- Knowledge of HSE and ISO documentation.
