We are seeking a motivated and organized professional to join our Enterprise Services team as a Records Processing & Data Management Specialist. This role will focus on supporting Records and Information Management (RIM) processes, ensuring compliance with retention policies, and contributing to digitization and migration projects. The ideal candidate will have experience in data management, quality assurance, and administrative coordination, with a strong commitment to driving operational excellence.

Key Responsibilities:

Records Processing & Data Management:

  • Perform tagging and indexing of metadata for physical and electronic records.
  • Assist in data extraction and reconciliation processes during legacy system migrations.
  • Conduct quality control reviews for scanned and digitized documents.
  • Support records inventory reconciliation to ensure accuracy.

Retention Schedule Administration:

  • Apply retention codes to records in alignment with established schedules.
  • Monitor disposition eligibility and generate legal hold and exception reports.
  • Track legal hold compliance and update case statuses as needed.
  • Document retention exceptions and coordinate approval processes.

Digitization & Migration Support:

  • Prepare documents for large-scale scanning and digitization projects.
  • Verify OCR accuracy and ensure file format consistency.
  • Participate in legacy system decommissioning efforts and support data migration tasks.

Administrative Support:

  • Fulfill records requests and coordinate retrievals with internal and external stakeholders.
  • Reconcile vendor invoices for offsite storage services and track record destruction certificates.
  • Manage the intake and triage of RIM service tickets to ensure timely resolution.

Qualifications:

  • Demonstrated experience in records processing, data management, or similar roles.
  • Strong attention to detail, organizational skills, and the ability to manage multiple priorities effectively.
  • Familiarity with records management principles, retention policies, and compliance standards is a plus.
  • Experience with digitization projects, data entry, or quality assurance processes.
  • Proficiency with database tools, Microsoft Office Suite, and other relevant software.
