Job Summary

We are seeking a detail-oriented and proactive Procurement Assistant to support our interior design Project Managers with order placement, price verification and tracking of furnishings, fixtures, materials, and finishes. This role plays a critical part in ensuring that all project purchases are accurate, timely, and aligned with design intent and client expectations. The ideal candidate is highly organized, communicates clearly, and thrives in a fast-paced, collaborative environment.

Responsibilities

  • · Creation of purchase orders of products including furniture, lighting, fabrics, finishes, and accessories according to design sheet specifications into Studio designer

· Obtain and compare vendor quotes, pricing, and lead times to support specification on design sheets.

· Update any information that is received from vendor on ETA sheet and communicate to design team.

· Create and maintain accurate purchase orders in Studio Designer.

· Track and manage all orders to ensure timely delivery and resolve any delays or discrepancies with vendors.

· Communicate order status with the design team and project managers through bi-weekly ETA updates.

· Coordinate with vendors on custom orders, COM/COL requirements, finish approvals, and freight logistics.

· Review and confirm order acknowledgments and invoices for accuracy.

· Maintain organized procurement records, design sheets, samples, and tracking logs.

· Support in resolving claims for damages, returns, or warranty issues.

· Build out schedule for punch list requirements after project installation and work with PM to organize a timeline for final project completion.

· Build and maintain positive relationships with suppliers and trade vendors.

· Collaborate cross-functionally with designers, project managers, and warehouse/logistics teams.

· Assist PM with transportation logistics and site delivery of all good for project installation.

· Participate in project installations.

Qualifications

  • Administrative or related office management experience
  • Proficient with Microsoft Office and Google Workspace.
  • Experience in purchasing, sourcing, and negotiation within a supply chain environment.
  • Familiarity with logistics operations and contract management processes.
  • Excellent organizational skills with attention to detail and accuracy.
  • Ability to work collaboratively in a team environment while managing multiple tasks effectively.
  • Strong analytical skills to assess data related to pricing and supplier performance.
  • Knowledge of production planning processes is a plus.

Job Type: Full-time

Pay: $25.00 - $35.00 per hour

Expected hours: 40 – 45 per week
