Job Description – Procurement Assistant

About the Role:

In the role of Procurement Assistant, the candidate will support the smooth operation of supply chain processes by assisting with purchase orders, coordinating with suppliers, and ensuring timely receipt of materials. Effective communication and collaboration with internal teams and stakeholders will be required, along with proficiency in computer skills and fluency in English, Hindi, and Kannada. The candidate needs to work out of our office in Bengaluru.

Responsibilities:

  • Assist in preparation of Purchase Orders as per indent raised.
  • Prepare RFQs, Proforma Invoices, and procurement-related documentation.
  • Track shipments and logistics updates (SCM tracking) to ensure timely delivery of materials.
  • Coordinate closely with suppliers after PO release; follow up for dispatch schedules and documents such as docket, DC, and invoices.
  • Track material movement from dispatch to delivery and update project managers, site engineers, clients, and warehouse in-charge.
  • Follow up for delivery receipts, acknowledgements, test reports, warranty certificates, and other required documents.
  • Coordinate with project teams and warehouse staff for material receipts and dispatches.
  • Prepare Delivery Challans (DCs) for materials dispatched from warehouses to sites.
  • Support administrative tasks within the procurement and supply chain function.

Educational Qualifications:

  • Bachelor’s degree in any discipline (BA / B.Com / B.Sc / B.Tech) or a Diploma from a recognised institution.

Work Experience:

  • Minimum of 3 years of professional experience in Procurement, Supply Chain Management, Warehouse Operations, or related administrative functions.
  • Prior experience in the solar sector or manufacturing industry will be considered an advantage.

Software Tools:

  • Proficiency in Microsoft Excel and other commonly used computer applications relevant to procurement and supply chain activities.

Knowledge, Skills & Abilities:

  • Demonstrated experience in supplier coordination, documentation management, and shipment/material tracking processes.
  • Ability to maintain accurate records, documentation, and tracking logs using digital tools and software systems.
  • Strong verbal and written communication skills, with fluency in Hindi and English; proficiency in Kannada will be viewed favourably.

Job Types: Full-time, Permanent

Pay: ₹22,000.00 - ₹32,000.00 per month
