Procurement Associate

Primary Function/Purpose

The Procurement Associate supports procurement operations across Housing Solution of New York's 30+ organizational sites, ensuring compliance with established procurement policies. This entry-level role is ideal for individuals with strong administrative experience, a high attention to detail, and an interest in supply chain processes. The associate will assist in purchase processing, vendor communication, inventory tracking via WASP Inventory Cloud, and policy-aligned sourcing activities.

This role also provides administrative coverage when the Administrative Assistant position is vacant, including oversight of physical inventory.

Duties & Responsibilities:

  • Review and process purchase requisitions and generate purchase orders.
  • Communicate with vendors regarding order status, pricing, and delivery issues.
  • Maintain procurement records and update inventory using WASP Inventory Cloud.
  • Support sourcing efforts by collecting quotes and preparing RFQ documents.
  • Monitor and document supplier performance in line with procurement KPIs.
  • Assist in contract preparation and ensure all purchases comply with procurement guidelines.
  • Serve as backup for the Administrative Assistant during absences or vacancies, including managing supply inventory.
  • Participate in regular audits and ensure proper document retention in accordance with policy.

Education

  • High school diploma or equivalent
  • Associate’s degree preferred

Minimum Qualifications

  • Minimum of 2 years of clerical or administrative experience.
  • Proficiency with Microsoft Office and basic database systems.
  • Excellent organizational and communication skills.
  • Ability to manage multiple priorities and follow established procedures.

Preferred Qualifications

  • Experience using WASP Inventory Cloud or other procurement/inventory platforms.
  • Familiarity with RFQ processes and purchase workflows.

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
