Job Purpose:

Provides direct support to procurement team by managing supplier communication, documentation workflows, and system updates. Operates independently on routine procurement activities while escalating exceptions to senior staff


Key Responsibilities:

  • Draft and issue RFQs to suppliers as directed.
  • Coordinate supplier queries and ensure responses are logged and shared.
  • Track bid submissions, deadlines, and clarifications.
  • Input purchase requisitions, quotations, and supplier details into ERP/procurement systems.
  • Prepare comparison sheets and standard templates under guidance.
  • Maintain vendor qualification files and compliance records.
  • Follow up with suppliers on delivery of documents, certificates, or guarantees.
  • Monitor inventory levels and assist in maintaining appropriate stock levels.
  • Prepare basic reports on procurement activity (e.g., number of bids received, pending responses).
  • Ensure confidentiality and accuracy in handling supplier data.

Qualifications:

  • Technical certificate or associate degree in procurement, business administration, or a related field.
  • minimum 5 years of experience in procurement support.
  • Proficiency in MS Office (Excel, Word); familiarity with procurement software (e.g., SAP, Oracle) is a plus.
