Procurement Executive - FMCG

Job Profile

The Procurement Executive – Export is responsible for sourcing and purchasing goods and materials required for export operations while ensuring timely delivery, competitive pricing, and compliance with company and international export requirements. The role involves identifying reliable suppliers, negotiating contracts, maintaining strong vendor relationships, and coordinating with freight forwarders, warehouses, and internal departments to ensure smooth procurement and export activities that support the organization’s operational goals.

Key Responsibilities

1. Purchasing & Order Management

  • Source quotations, negotiate prices, and issue purchase orders (POs) in line with approved requisitions and export requirements.
  • Follow up with suppliers regarding order confirmations, production timelines, lead times, and shipment schedules.
  • Track the status of all open purchase orders and ensure timely coordination for export dispatch.
  • Coordinate with freight forwarders and logistics providers to ensure smooth shipment arrangements.

2. Supplier Relationship Management

  • Develop and maintain strong relationships with international suppliers.
  • Evaluate supplier performance based on pricing, product quality, delivery timelines, and service standards.
  • Assist in supplier onboarding, documentation collection, and compliance with company and export policies.
  • ·Resolve supplier-related issues including delays, shortages, and non-conformities.

4. Cost Control & Analysis

  • Ensure procurement activities are aligned with budgetary limits and company cost-control objectives.
  • Identify cost-saving opportunities through supplier negotiations and alternative sourcing.
  • Monitor market trends, price fluctuations, freight costs, and currency impacts affecting imports and exports.
  • Prepare procurement and cost analysis reports for management review.

5. Documentation & Compliance

  • Ensure proper documentation for all procurement and export transactions including invoices, delivery notes, packing lists, and supplier records.
  • Maintain accurate procurement records and approvals for audit and compliance purposes.
  • Ensure purchased goods comply with company quality standards and international export regulations.
  • Coordinate with internal departments to ensure timely completion of export-related documentation.

6. Cross-Department Coordination

  • Liaise with finance for invoice verification, payment processing, and supplier account reconciliation.
  • Coordinate with quality control teams for product inspections and supplier non-conformity handling.
  • Work closely with logistics, warehouse, and export sales teams to ensure smooth operational flow and timely shipment execution.

Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
  • 2–5 years of experience in procurement, purchasing, or supply chain management.
  • Experience in international buying and sourcing of food, non-food, and FMCG products.

Key Skills

  • Strong negotiation and communication skills.
  • Proficiency in procurement software and tools (e.g., SAP, Oracle, or Microsoft Excel).
  • Knowledge of procurement best practices and supply chain management.
  • Analytical and problem-solving abilities.
  • Ability to multitask and prioritize effectively under tight deadlines.

Pay: From AED5,000.00 per month
