Role Overview
The Procurement Manager will be responsible for end-to-end procurement and supply chain management across all programs. This includes managing procurement of goods and services for training, travel, printing, events, and other field activities; ensuring compliance with internal policies and donor requirements; and developing efficient systems to support timely and cost-effective procurement.
Roles and Responsibilities
- Identify, evaluate, and onboard vendors for printing, logistics, travel, event management, training supplies, catering, and field operations.
- Negotiate contracts, terms, and service agreements to ensure best value and quality.
- Monitor vendor performance and maintain strong vendor relationships.
- Manage procurement for all program-related needs including printing of materials, training kits, and supplies.
- Coordinate procurement and logistics for field visits, workshops, and district/block-level trainings (venues, accommodation, meals, transport, etc.).
- Ensure transparent documentation—purchase requests, quotations, bid comparisons, purchase orders, and invoices.
- Work closely with Finance, Admin, and Program teams to ensure timely payments and compliance.
- Develop and implement annual and project-specific procurement plans aligned with program timelines and budgets.
- Develop and implement procurement policies and procedures, ensuring they are followed and updated regularly.
- Maintain an approved vendor database and conduct regular market assessments to ensure cost-effectiveness.
- Ensure all procurements adhere to organizational and donor procurement guidelines.
- Maintain procurement trackers and report regularly on status, savings, and issues.
- Support audits by providing complete procurement documentation and justifications.
- Train staff on procurement processes and compliance requirements.
- Support district and field teams in following standardized procurement procedures.
Qualification & Skills
- Graduate/Postgraduate in Business Administration, Supply Chain, Commerce, or related field.
- Minimum 5–8 years of experience in procurement and vendor management, preferably in the development/NGO sector.
- Experience managing procurement for field operations, trainings, and printing is preferred.
- Strong negotiation, documentation, and analytical skills.
- Proficiency in MS Office and Google Workspace.
- Willingness to travel to program districts and training locations as required.
Job Types: Full-time, Permanent
Pay: Up to ₹1,200,000.00 per year
