Position Summary

The Procurement Manager is responsible for the day-to-day execution of procurement activities for Great Hearts, ensuring the timely, accurate, and compliant acquisition of goods and services necessary for school and home office operations. This role is pivotal in ensuring operational excellence within established procurement policies and financial controls, as well as developing, implementing, and refining procurement practices to support both the startup and ongoing procurement operations of schools.

The Procurement Manager manages requisitions and purchase orders in Workday, validates budget alignment, establishes and manages vendor relationships, and partners with Finance, Operations, IT, and school personnel to support efficient and sustainable purchasing practices.

Duties & Responsibilities

  • Review and process requisitions in Workday to ensure accuracy, completeness, and policy compliance.
  • Create and issue purchase orders in accordance with established approval workflows and thresholds.
  • Confirm budget availability prior to purchase order issuance and flag potential overspending or coding errors.
  • Ensure proper financial coding to cost centers, programs, grants, and capital projects.
  • Maintain organized documentation for quotes, contracts, and required approvals.
  • Monitor open purchase orders and follow up with vendors and internal teams to ensure timely fulfillment and closure.
  • Collaborate with the accounts payable team for supplier vetting and approval, onboarding, and collecting vendor documentation (W-9s, insurance certificates, required compliance records).
  • Serve as primary point of contact for vendors on purchasing and PO-related matters, resolving discrepancies as needed.
  • Partner with Operations on FF&E procurement and school startup purchasing needs.
  • Collaborate with IT on hardware, software, and technology purchasing cycles.
  • Support enterprise purchasing accounts (e.g., Amazon, Office Depot, and similar platforms) to ensure proper use and cost control.
  • Assist Finance leadership with procurement reporting, audit support, and documentation requests.
  • Identify process inefficiencies and recommend practical operational improvements.

Qualifications, Competencies & Strengths

  • Education: Bachelor’s degree in business administration, finance, accounting, supply chain management, or related field preferred.
  • Experience: 3–5 years of experience in procurement, accounting, financial operations, or related field. Experience in multi-site organizations or education/nonprofit environments is a plus.

  • Strong analytical thinking and creative problem-solving skills; ability to troubleshoot with little direction.
  • Strong Microsoft Office (Excel, Word, Outlook, PowerPoint) skills.
  • Experience with Workday preferred.

Additional Requirements

Type of fingerprint clearance varies by state: Must possess or obtain valid Arizona Department of Public Safety IVP fingerprint clearance card.

Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 15 pounds approximately.
