Job Title: Procurement Officer

Department: Procurement/Supply Chain

Job Summary:
The Procurement Officer is responsible for managing the procurement process to ensure the timely and cost effective acquisition of goods and services required by the organization. This role involves vendor management, negotiating contracts, and ensuring compliance with company policies and industry standards.

Key Responsibilities:

  • Procurement Planning:
  • Develop and implement procurement strategies aligned with the organization's goals
  • Analyze market trends and forecast procurement needs.
  • Vendor Management:
  • Identify, evaluate, and establish relationships with reliable vendors and suppliers.
  • Conduct regular supplier performance reviews.
  • Maintain an updated database of approved vendors.
  • Purchasing Operations:
  • Source and procure goods, materials, and services as per company requirements.
  • Negotiate terms, pricing, and contracts with suppliers to achieve the best value.
  • Process purchase orders and follow up on delivery schedules.
  • Cost Management:
  • Monitor and control procurement budgets.
  • Identify cost-saving opportunities without compromising quality.
  • Compliance and Documentation:
  • Ensure adherence to company policies, legal guidelines, and industry standards.
  • Maintain accurate procurement records and documentation for audit purposes.
  • Quality Assurance:
  • Ensure all purchased goods and services meet the required quality standards.
  • Handle any issues related to defective or non-compliant goods.
  • Collaboration:
  • Work closely with internal teams (e.g., operations, finance, logistics) to align procurement activities with business objectives.
  • Provide regular updates to management on procurement activities and performance.
  • Reporting and Analytics:
  • Prepare reports on procurement metrics, cost savings, and supplier performance.
  • Use data to identify trends and improve procurement processes.

Qualifications and Skills:

  • Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
  • 1-2 years of experience in procurement or supply chain management.
  • Strong negotiation and communication skills.
  • Excellent organizational and time management abilities.
  • Proficiency in procurement software and Microsoft Office.
  • Analytical mindset with attention to detail.
  • Ability to handle multiple tasks and prioritize effectively.
