About the Opportunity
Kalamazoo Valley is seeking a Procurement and Payment Assistant to join its team in the college’s business services department. This position provides technical accounting support to secure products and services for instructional and operational areas of the college and processes invoices for payment. The ideal candidate will be knowledgeable in acceptable purchasing and accounting practices and will work positively with vendors who provide products and services to the college.
Essential Job Functions
- Generates purchase orders, processes change orders and enters invoices within the ERP system.
- Reviews purchase documentation for accuracy, completeness and proper general ledger (GL) coding and prepares documentation for tax-exempt purchases and vendor credits.
- Assists in training end users on procurement procedures and system functionality.
- Performs three-way matching of invoices, purchase orders and receipts to verify pricing and quantities.
- Reconciles vendor statements, payment records and account balances.
- Collaborates with vendors, internal departments and Business Services staff to resolve discrepancies.
- Monitors open items, aged invoices, credits and unresolved transactions to ensure timely resolution.
- Identifies trends, recurring issues and opportunities for process improvements within the procure-to-pay cycle.
- Maintains accurate vendor records, including contact and account information.
- Serves as a liaison between vendors and internal stakeholders to support effective communication and issue resolution.
- Assists with year-end close, fixed assets, 1099 reporting and audit documentation.
- Performs other related duties as assigned.

Minimum Qualifications:
Appropriate education, training, experience and talents are required. An example of this would be an Associate degree in a related field and one (1) year of related experience, or equivalent combination of training, education and experience.

The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and have close visual acuity.
