Procurement Specialist

PURPOSE: Avelo Airlines is seeking a detail-oriented and motivated Procurement Specialist to support day-to-day sourcing and procurement activities across the organization. This role works closely with the Manager of Airline Sourcing and other departments to help manage vendor relationships, analyze airport and equipment costs, coordinate purchasing activities, and support contract administration. It’s an exciting opportunity to contribute to the efficient operation of a growing airline while gaining broad procurement experience.

This is an ideal first or second role for someone interested in procurement, logistics, or supply chain - especially within the dynamic aviation industry.

RESPONSIBILITIES:

1. Vendor & Contract Support:

• Coordinate the preparation of RFPs and the collection of vendor data for ground handling, fuel, deicing, wheelchair, and other airport services.
• Support contract negotiation processes by compiling pricing comparisons and vendor performance data.
• Track contract terms, renewal dates, and deliverables.
• Work with Airport Ops to collect vendor feedback and track performance.

2. Ground Support Equipment (GSE) Coordination:

• Coordinate and support equipment lease and purchase agreements.
• Track shipments, deliveries, and commissioning of GSE at stations.
• Support GSE inventory audits and maintain accurate location records.
• Help liaise with Tech Ops on maintenance scheduling and vendor oversight.

3. Procurement & Supply Chain Operations:

• Attend project meetings and execute procurement-related action items.
• Procure airport supplies in support of new station openings.
• Procure aircraft parts in support of aircraft induction activities.
• Support the on-going replenishment process for airport and inflight supplies.
• Help improve reporting on supply usage, costs, and vendor performance.

4. Analysis & Reporting:

• Gather and analyze airport cost data to support budgeting and vendor decisions.
• Prepare basic financial and operational analysis for procurement activities.
• Track savings or efficiency gains.

5. Invoice & Billing Support:

• Review invoices for accuracy and help resolve discrepancies with vendors.
• Resolve billing discrepancies.
• Set up purchase orders (POs).

6. General Procurement Functions:

• Maintain organized contract files and procurement documentation.
• Assist with procurement, vendor onboarding, and other sourcing needs as directed.

Requirements:

QUALIFICATIONS:

• Bachelor’s degree in business, Supply Chain or related field preferred or equivalent work experience.
• 0-2 years of experience in procurement, sourcing, supply chain, or related internships, projects, or coursework. (We welcome new grads with a strong interest in procurement and operations!)
• Strong organizational and communication skills.
• Proficiency in Excel and analytical tools; experience with procurement systems a plus.
• Ability to manage multiple tasks and deadlines in a fast-paced environment.
