Procurement Specialist

Job Summary:

South Arkansas College is seeking a highly organized and detail-oriented Procurement Specialist to support daily financial and procurement operations. This role is responsible for managing purchasing card (P-Card) activity, coordinating purchases and distribution of goods, maintaining central supply inventory and internal sales, and providing support to procurement staff as needed. The position requires strong attention to detail, customer service, and the ability to manage multiple processes efficiently. This position is governed by state and federal laws and agency/institution policy.

Salary: Annual salary of $35,000. Plus, excellent benefit package.

Duties and Responsibilities:

· Manage all institutional purchasing card (P-Card) transactions, including reviewing, allocating, and reconciling charges accurately and in a timely manner

· Ensure all P-Card activity complies with college policies and applicable regulations

· Perform regular account reconciliations and resolve discrepancies

· Coordinate and complete in-town purchases for departments, including in-store and online pickup orders

· Pick up items from local vendors and verify accuracy of received goods

· Receive and process shipped purchases delivered to the office

· Notify employees when requested items are available and coordinate pickup times

· Maintain and monitor central supply inventory levels

· Process and track sales of supplies to internal employees and departments

· Maintain accurate records of inventory, purchases, receipts, and transactions

· Provide backup support to procurement department staff as needed

· Assist with audits by providing required documentation and reports

· Support general fiscal operations, including data entry, reporting, and financial tracking

· Perform other duties as assigned

Skills and Abilities:

  • Multitasking and prioritizing tasks while providing customer service is required for this position.
  • Work will primarily be conducted in an office setting, with typical office noise levels including telephones and background noises.
  • Dependability is crucial in this position.

· Knowledge of computers and software applications. Experience with Microsoft Office preferred: Excel, Word, Outlook, PowerPoint, Teams.

· Strong attention to detail and ability to manage high-volume transactions

· Experience with financial processes such as reconciliation or purchasing

Required Education and Experience:

· The formal education equivalent of an Associate’s degree in accounting, finance, business administration, or related field, or equivalent experience.

· Minimum of 3 years office experience including understanding of business processes, organized company travel and credit card transactions and reconciliation.

Preferred Education and Experience:

· Experience managing purchasing cards (P-Cards) or procurement processes

· Inventory management or retail/supply tracking experience

· Experience in higher education or public sector finance

· Knowledge of state procurement guidelines

· Minimum of 5 years office experience including understanding of business processes, organized company travel and credit card transactions and reconciliation; preferably within higher education.

Physical Requirements:

· The individual must be able to lift, carry, and move items weighing up to 50 pounds on an occasional basis

· Ability to load, unload, and transport purchased goods between locations

· Frequent walking, standing, and handling of materials associated with receiving and distributing supplies

· Valid driver’s license and ability to travel locally for purchases and pickups
