ACCOUNTABLE TO:
Chief Marketing & Sales Officer


ACCOUNTABLE FOR:
Coordinating and executing end-to-end procurement registration, certification, opportunity research, and application activities for Enterprise Management customer companies under contract.


CLASSIFICATION:
Independent Contractor - W-8BEN; contractual 40 hours per week, paid hourly


COMPENSATION RANGE:
Approximate equivalent of $5–$7 USD/hour


SUMMARY OF POSITION RESPONSIBILITIES

The Procurement & Vendor Registration Specialist is responsible for registering, certifying, and maintaining Enterprise Management customer entities within applicable local, state, federal, and quasi-government procurement systems. The role ensures customer companies are eligible, visible, and properly positioned to pursue procurement and contracting opportunities relevant to their location, industry, and service offerings.


This position works closely with Enterprise Management leadership and customer leadership teams to research procurement opportunities, provide regular reporting, and execute applications upon approval. The Specialist is expected to be highly detail-oriented, execution-focused, and compliant with all system, security, and credential management requirements.


SCHEDULED DUTIES AND RESPONSIBILITIES

Registration & Certification Management

  • Register Enterprise Management customer entities with all applicable certification bodies, vendor directories, and procurement registries as authorized by customer leadership
  • Complete and manage applications for minority-owned, women-owned, disadvantaged, small business, local business, and other relevant certifications
  • Register customer entities within appropriate local, county, state, federal, and special-purpose procurement portals based on business location and service type
  • Maintain a centralized tracking system documenting certification status, registration approvals, renewal dates, and required documentation

Procurement Opportunity Research & Reporting

  • Conduct ongoing research to identify procurement, contracting, and vendor opportunities relevant to each assigned customer entity
  • Monitor opportunities issued by municipalities, counties, states, federal agencies, transportation authorities, utilities, and other institutional buyers
  • Prepare and distribute weekly procurement opportunity reports to:
    • Enterprise Management Solutions leadership
    • Designated customer leadership contacts
  • Weekly reports must clearly outline opportunity details, eligibility requirements, deadlines, and recommended next steps

Application Execution & Follow-Up

  • Track feedback and direction received from customer leadership regarding identified opportunities
  • Prepare and submit procurement applications only after receiving approval or confirmation from customer leadership or Enterprise Management leadership
  • Manage application submissions, follow-ups, clarification requests, and outcome tracking
  • Maintain documentation logs for all applications submitted, including outcomes and next steps

Systems, Security & Credential Control

  • All work must be completed exclusively within Enterprise Management–approved AWS environments
  • All work activity must be monitored via Teramind in accordance with company policy
  • Maintain full documentation of all usernames, passwords, MFA credentials, and access details, which must be stored on record with the Chief Marketing & Sales Officer
  • Credentials may not be modified, reset, or replaced without documented approval

Coordination & Communication

  • Coordinate with compliance, finance, and executive teams to ensure accuracy of submitted information
  • Respond to internal and customer leadership inquiries regarding procurement readiness or certification status
  • Attend meetings as scheduled by the supervisor and provide status updates

UNSCHEDULED DUTIES AND RESPONSIBILITIES

  • Assist the supervisor and customer leadership with procurement-related special projects as requested
  • Remain informed and compliant with applicable procurement regulations and certification requirements
  • Support audits or reviews related to certifications, vendor eligibility, or procurement participation
  • Maintain strict confidentiality of all customer, financial, ownership, and access information
  • Assist with SOP updates, documentation improvements, and process optimization
  • Be a doer, not just a coordinator

TERMINATION FOR CAUSE

This contract may be terminated immediately for cause, including but not limited to:

  • Unauthorized system or device usage
  • Failure to use AWS or Teramind as required
  • Credential mismanagement or nondisclosure
  • Failure to meet deadlines or execute approved tasks
  • Submission of inaccurate, incomplete, or unauthorized applications
  • Breach of confidentiality, security, or monitoring requirements

PHYSICAL DEMANDS

  • Prolonged periods sitting at a desk and working on a computer
  • Frequent meetings via video or phone

WORKING CONDITIONS

  • Remote (India-based)
  • Fast-paced, deadline-driven environment requiring independent execution

LEVEL OF EDUCATION / TRAINING / QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Commerce, Operations, or related field preferred
  • Minimum 2–4 years of experience in procurement registration, vendor onboarding, certifications, or compliance
  • Experience working with U.S. procurement systems strongly preferred
  • Ability to work U.S. Eastern Time business hours
  • Ability to pass background and reference checks
