Job Description:

This position requires the emplpoyee to exercise considerable independent judgment and utilize a comprehensive knowledge of pertinent agency rules, regulations, and policies to execute the most complex production and administrative tasks. Processes a variety of agency documents by reviewing for accuracy, completeness, and consistency; updating information; and evaluating compliance against policy, requiring independent judgment in the application of agency regulations and procedures. Originates professional correspondence, documentation, and other written communication. Provides information and assistance to the public. Locates and assembles complex or difficult-to-identify records, which requires substantial research, judgment, and subject matter knowledge. Prepares and generates detailed reports by utilizing automated processes and a thorough understanding of the subject matter.

Key Responsibilities

  • Performing basic accounting functions such as receiving and recording cash payments, bookkeeping, processing payroll, and managing accounts payable/receivable.
  • Maintaining calendars, schedules, and coordinating appointments, meetings, training, and facilities.
  • Assisting in the training of vendors and new employees.
  • Managing supplies and materials by ordering, receiving, inspecting, and storing equipment and commodities.
  • Customer Support: Answer phone calls and emails to help customers navigate the licensing and registration process.
  • Data Entry (AIMS): Use the AIMS database to process applications, verify information accuracy, and issue official certificates and licenses.
  • Quality Control: Review submissions for completeness and follow up with customers on missing information or fees.
  • Teamwork: Coordinate with coworkers to learn office workflows and help maintain a smooth registration process.

Qualifications

Administrative Knowledge of administrative and clerical procedures and systems such as word processing, managing f iles and records, stenography and transcription, designing forms, and other office procedures and terminology.

Structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

The ability to listen to and understand information and ideas presented through spoken words and sentences.

The ability to read and understand information and ideas presented in writing.

The ability to communicate information and ideas in speaking so others will understand.

Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.

Talking to others to convey information effectively.
