Flora Explora is a growing commercial landscaping company specializing in seasonal color displays, container gardens, holiday décor, and exterior beautification projects throughout Greater Boston.
As we continue to grow, we're looking for a highly organized Production Coordinator to help ensure jobs are completed on time, with the correct materials, and within budget.
Position Summary
The Production Coordinator serves as the operational hub of the company, ensuring work moves efficiently from sale to successful completion. This role coordinates production schedules, work orders, job costing information, production reporting, and operational communication to help crews execute work safely, efficiently, and profitably.
The successful candidate will take ownership of newly established operational systems and processes, ensuring they are followed consistently, maintained accurately, and necessary improvements are made by the Director of Operations. This position works closely with Field Operations Manager and Sales team to keep projects moving forward. The position requires critical thinking at every step to optimize crew assignments and routes and minimize material handling and waste.
Responsibilities
Production Scheduling & Coordination
- Draft weekly production schedules
- Prepare and distribute work orders and crew training information
- Coordinate client scheduling notifications and site access requirements
- Coordinate subcontractors and specialty vendors
Production Administration & Job Costing
- Maintain accurate production labor data and job materials records
- Track labor and production performance against budgets
- Review completed work for billing readiness
- Process operational documentation including COIs and project records
Reporting & Operational Systems
- Generate production, labor, and profitability reports
- Maintain operational databases and business records
- Maintain operations manuals and standard procedures
- Ensure operational data is complete and accurate
Process Compliance & Operational Support
- Follow established production, scheduling, billing, and reporting procedures
- Maintain and administer existing operational systems
- Identify recurring issues, bottlenecks, and process breakdowns
- Provide feedback to leadership regarding opportunities for systems improvement
- Assist with implementation of new procedures and systems as they are developed
Qualifications
Required
- 2+ years of experience in operations, project coordination, production coordination, or a related role
- Strong organizational and time-management skills
- Exceptional attention to detail
- Expert in both Microsoft Excel and Google Sheets
- Ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills, proficient with Slack
Preferred
- Experience in landscaping, field services, facilities management, or similar industries
- Familiarity with QuickBooks Online
- Experience with VBA, or Google Apps Script experience is a plus
- Experience maintaining reports and operational data
