Position: Production Coordinator (Artwork & Order Processing)

Department: Design
Reports To: Operations / Art Lead

Role Summary

We are seeking a highly organized and detail-driven Dye Sublimation Production Coordinator to support our order and production workflow. This role is ideal for someone with strong administrative, technical, and time-management skills who enjoys structured processes and accuracy.

This is not a creative design position. The focus is on execution, organization, and error prevention.

Key Responsibilities

Order & Artwork Preparation

  • Review orders and original mocks for accuracy before production begins
  • Verify sizes, placement, proportions, colors, and order details match the approved mock
  • Prepare and organize artwork files for overseas production partners
  • Break down complex orders into clear, straightforward instructions
  • Complete and delegate orders as needed

Template & File Management

  • Use Adobe Illustrator to adjust templates, sizing, and proportions as needed
  • Ensure files follow established standards and naming conventions
  • Maintain organized digital file structures for all orders

Production Coordination

  • Ensure all required information is included before files are sent overseas
  • Communicate clearly when information is missing or incorrect
  • Track deadlines and keep work aligned with the production schedule

Quality Control

  • Catch errors before production (wrong size, incorrect placement, missing details)
  • Confirm final files match the approved mock exactly
  • Follow internal checklists and SOPs every time

Required Skills & Traits

✔ Strong time management and ability to keep up with a schedule
✔ Comfortable working with repetitive, structured tasks
✔ Able to follow written procedures and checklists
✔ Strong communication when something doesn’t look right

Nice to Have (Not Required):

  • Basic familiarity with Adobe Illustrator
  • Experience in production art, print prep, or order processing
  • Experience working with overseas vendors or structured workflows

(Adobe Illustrator skills can be trained — attention to detail cannot.)

Pay: $18.00 - $20.00 per hour

Expected hours: 40.0 – 55.0 per week
