The Production Coordinator – Graphics & Marketing supports the execution of graphic and marketing materials by coordinating production tasks, workflow processes, quality control activities, and operational support functions. This role ensures deliverables are prepared accurately, timelines are met, and marketing operations are supported efficiently. This is an operations-focused role serving both the Graphics and Marketing departments.

Production & Graphics Support
Prepare, format, and update graphic materials using established templates and brand standards
Support production of internal corporate graphic materials and marketing collateral
Assist with image selection and file preparation for digital and print delivery
Organize, name, archive, and maintain digital assets and graphic files within Adobe Creative Cloud Libraries
Conduct quality control reviews and periodic audits to ensure deliverables meet established brand, accuracy, and formatting standards
Support client presentation development and accreditation, with Marketing and Graphics staff, including PowerPoint or other content development, and AIA accreditation and certifications
Manage requests, web inquiries, and ticketing service, ensuring that tasks are correctly assigned and closed out, working with department management
Maintain visibility of production status and communicate risks, constraints, or delays to leadership
Support clear coordination between designers, marketers, and internal stakeholders
Marketing Operations Support
Coordinate procurement, invoicing, and asset management for external marketing photography services
Provide administrative support for marketing operations, including conference tracking updates, CRM data entry, invoice and payment coordination, and corporate sponsorship tracking and fulfillment
Events & Client-Facing Support
Manage PAE Living Building tour and event requests, coordinating scheduling and tracking in partnership with Operations
Partner with Operations to support PAE-hosted, client-facing events, ensuring coordinated execution and shared capacity across teams
Perform other duties as assigned
Associate or Bachelor’s degree in Marketing, Communications, Graphic Design, or related field, or equivalent experience
1–3 years of experience in production coordination, marketing operations, or design support
Experience in a professional services or A/E/C environment preferred
Proven Strong organizational and coordination skills
Attention to detail and commitment to quality
Ability to manage multiple tasks and deadlines
Clear communication and cross-functional collaboration skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Familiarity with Adobe InDesign preferred
Experience with CRM systems and digital asset management platforms preferred
The base salary is one component of PAE’s competitive compensation package for employees.
