The Production Planning Coordinator plans and establishes production schedules and is responsible for coordinating the production schedules on a daily and weekly basis to meet plant goals and demands. This requires monitoring stock inventory levels, materials inventory levels, tracks progress of production, and reviews factors which might affect the production schedules. (This is meant to be a guide. Duties may vary dependent upon management.)
Essential Position Functions:
- Coordinate and supervise daily production activities, meeting productivity requirements with allotted headcount while maintaining adherence to safety, quality, and financial requirements within required timelines.
- Creates production schedules daily and ensures that the output is recorded correctly into the system.
- Attend daily production/scheduling meetings with supervisor to build and schedule workflow for each department according to established production sequences and lead times.
- Communicate with sales, customer service and throughout the company when there are significant variations in production.
- Communicates demand and lead time information across the company, so that everyone is aware of opportunities and demands.
- Ensures that plant supervisors receive machine schedules in a timely manner.
- Understand and communicate the flow of raw materials when it affects the schedule.
- Communicate schedule changes, maintenance requirements, shutdowns, and training needs that affect future production plans.
- Participate in periodic forecast meetings with sales, marketing, and other related departments; leads additional planning meetings with sales, production, shipping, purchasing, and customer service staff.
- Must be able to be on call when Supervisor (Master Scheduler) is not available, to manage decisions regarding unplanned downtime and re-scheduling of plant production.
- Maintain a thorough understanding of all products manufactured by the plant and production processes utilized.
- Kit each machine with all job jackets, plates, labels, and any tooling needed to run the jobs on the schedules within a 48-hour period.
- Communicate and address all issues regarding orders on the schedules in a timely manner.
- Review and expedite all change requests for adjustments in accordance with the master production scheduling policies and procedures.
- Release orders in accordance with the master production schedule to support the necessary supply to meet customer demand.
- Develop daily and weekly actual versus scheduled communication and on time delivery reporting.
- Assist in root cause analysis and lead improvement action to improve performance.
- Advise management on the status of work-in-progress, material availability, and potential production constraints to ensure required resources are available.
- Analyze manufacturing run sizes and identify opportunities to optimize cost and service balance across raw materials, conversion, and finished goods.
- Learn and understand the standard concepts, practices, and procedures throughout all areas of the company.

Education and/or Experience:
- High school diploma or GED required.
- 1 - 3 years previous experience in envelope manufacturing preferred.
- 1 – 3 years previous experience in scheduling preferred.
- Understand capacity planning.
- Must have intermediate Microsoft Office (Word, Excel, Outlook) skills.
- Must be able to efficiently use a Windows-based computer.
- Demonstrate creative and innovative thinking.
- Perform effectively in high-pressure environments.
- Ability to prioritize and complete assignments accurately and in a timely manner.
- Able to effectively handle multiple priorities with a strong attention to detail in a fast-paced environment.
- Strong interpersonal, organizational, oral, and written communications skills.
- Must be able to read and communicate in English, for safe and effective performance of the job and business operations.
- Must be able to pass a drug screen and criminal background check.
