Program Assistant - Victim Witness

Wage as of 7/1/26: $24.21 to $27.40/hr

GENERAL FUNCTION
The Wood County's District Attorney's Office, is looking for a Program Assistant in their Victim/Witness Office. The general function is to provide clerical support to the Victim Witness Coordinator and perform primary reception duties.

RESPONSIBILITIES
A. ESSENTIAL FUNCTIONS
1. Prepare correspondence to victims of crime. Type, index, and file all correspondence including transcription, prepare disposition notices for law enforcement, retrieve and return files as needed, requiring carrying and climbing steps, on a daily basis. Attention to detail of court events schedule and follow through with notification as required.
2. Act as office receptionist, which includes answering the office telephone and communicating information to the general public, and victim/witnesses in a pleasant and professional manner, either by verbal or written response. Inform of court proceedings as necessary. Screen and refer calls to proper party.
3. Coordinate and schedule meetings between victims/witnesses and attorneys and/or VW staff for trial preparation, case consultation, and related proceedings and services.
4. Knowledge of District Attorney specific computer program (PROTECT). Maintain computer information on an ongoing basis.
5. Be familiar with Wisconsin’s Victim Witness statutory requirements listed in Chapter 950.
6. Be able to work independently in the Coordinator’s absence.
7. Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.
8. Must be familiar with and exemplify the Wood County Core Values and serve with courtesy and respect in accordance with the Wood County Code of Conduct.

B. OTHER JOB DUTIES
1. Collect the office mail and take it to the County Clerk’s office, on a daily basis, for transportation to the United States Post Office, as well as pick it up at the County Clerk’s office each morning.
2. Order and maintain office supplies, as needed.
3. Document all requirements of contact under Victim Right’s Amendment.
4. Copy all required information for restitution, document as required and forward necessary information to appropriate agency. Index in computer.
5. Assist in court occasionally, as requested.
6. Any other duties as may be assigned.

EXPERIENCE, TRAINING, QUALIFICATIONS
High school graduate, supplemented by completion of a secretarial course, or one to two years related secretarial experience. Knowledge of the criminal justice system or legal experience is helpful. Ability to operate a personal computer, enter data into computer terminal, use Windows NT, and Word software are required. Typing speed of 45 wpm, with a high degree of accuracy. Demonstrated ability to maintain confidentiality, and to possess a pleasant and professional manner while dealing with the public. Everyday living skills are needed, as is the ability to understand and follow oral and written directions. Reading, writing, adding, and subtracting is needed to understand information contained in restitution documents, filing, and taking messages.

Basic office equipment used: computer terminal and printing equipment, FAX machine, Dictaphone, copy machine, typewriter, and telephone.

Pay: $23.74 - $26.86 per hour

Expected hours: 38.75 per week
