Program Manager Assistant

Project Manager Assistant – PEMB (Punch List & Closeout Coordinator) Position Summary The Project Manager Assistant – PEMB is responsible for driving projects to completion by managing punch lists, coordinating closeout activities, and ensuring all final deliverables are completed accurately and on time. This role supports Project Managers by expediting the final phase of construction and reducing project carryover. This position plays a critical role in ensuring jobs are closed efficiently, professionally, and with a high level of customer satisfaction. Key Responsibilities Punch List Management Create, manage, and track punch lists for all active and nearing-completion PEMB projects Coordinate with field crews, subcontractors, and vendors to complete punch list items Verify completion through documentation, photos, and communication Escalate items that may delay completion Project Closeout Execution Lead closeout process from substantial completion to final completion Collect and organize all required closeout documentation including as-builts, warranties, manuals, inspections, and lien waivers Coordinate final inspections and occupancy approvals Ensure all contractual requirements are met Coordination & Communication Act as liaison between Project Managers, field teams, subcontractors, and customers Maintain consistent updates on project status Schedule and track final work activities Documentation & Systems Maintain organized project files Track progress in company systems Generate reports on closeout status Qualifications 2+ years construction coordination or project support preferred PEMB or steel construction experience preferred Strong organization, communication, and follow-through skills Proficient in Microsoft Office; PM software experience a plus Performance Metrics Reduction in project closeout cycle time Projects closed on schedule Punch list completion turnaround time Accuracy and completeness of closeout documentation Reporting Structure Reports to Project Manager(s) or Operations Manager and works closely with field supervisors, subcontractors, and customers. Pay: $28.00 - $30.00 per hour
