JOB SUMMARY:
The Temporary Hourly Program Support Specialist provides administrative and coordination support for classified employee development initiatives, including the GED & English Language Acquisition (ELA) program and professional learning engagement. This role supports application intake, eligibility verification, communication, recordkeeping, and coordination with internal and external partners to ensure program accessibility, compliance, and effective participant support. All work is conducted in collaboration with Talent Management & Development and existing program leads.

  • Strong organizational and record‑keeping skills
  • Clear, professional written and verbal communication
  • Ability to manage sensitive information with discretion and confidentiality
  • Attention to detail and accuracy in tracking applications and funding
  • Ability to work independently while following established procedures
  • Comfort coordinating with multiple stakeholders across departments
  • Basic proficiency with Microsoft Office tools and digital tracking systems

Preferred Qualifications

  • Experience providing administrative or program coordination support
  • Experience working in an education, training, or human resources environment
  • Familiarity with adult education, workforce development, or professional learning programs (preferred but not required)

Work Environment & Schedule

  • Temporary, hourly position
  • Schedule and number of hours determined based on program needs and funding availability
  • May include coordination with internal departments and external partners during standard business hours

DUTIES & RESPONSIBILITIES/ILLUSTRATIVE EX OF WORK:


Program Intake & Eligibility Support

  • Manage the intake process for GED and ELA program applications, ensuring submissions are complete, accessible, and properly documented.
  • Verify participant eligibility, including classified employee status and availability of program funding.
  • Confirm supervisor acknowledgement and required approvals, including verification that applicants are not on a performance improvement plan or under disciplinary action.

Program Tracking & Records Management

  • Track and monitor use of allocated program funds throughout the fiscal year.
  • Maintain accurate and confidential program records, including applications, approvals, funding logs, enrollment status, and participant progress.
  • Support reporting and documentation needs as requested by program leadership.

Participant & Supervisor Communication

  • Provide participants with timely updates regarding application status, enrollment steps, schedules, and program expectations.
  • Send encouragement messages once program enrollment has been confirmed.
  • Coordinate communication with supervisors to confirm enrollment and encourage ongoing support for employee participation.

Vendor & Partner Coordination

  • Serve as the primary point of contact for the adult education vendor (PWCS Adult Education) regarding enrollment coordination and reporting needs.
  • Support communication and coordination with LinkedIn Learning Division Champions by:
    • Sharing usage guidance and expectations
    • Communicating best practices
    • Supporting division‑level rollout and promotion efforts
    • Reinforcing professional learning engagement expectations
