Project Assistant

We are looking for a Construction Project Coordinator to join our team in Newport Beach, California. In this Contract to permanent position, you will play a key role in supporting project operations by managing administrative tasks, coordinating field office activities, and ensuring compliance with project requirements. This role is ideal for an organized and proactive individual who thrives in a fast-paced construction environment.


Responsibilities:

• Provide administrative support to the project team, including maintaining schedules, coordinating events, and assisting with paperwork related to safety, contracts, insurance, and invoices.

• Prepare and distribute correspondence, reports, meeting minutes, and project-related documents, ensuring accuracy and timely delivery.

• Manage purchase orders by creating them under the direction of project managers and facilitating payments to subcontractors and vendors.

• Accurately prepare and submit pay applications on schedule, including handling Textura processes and ensuring compliance with monthly billing requirements.

• Assist with labor compliance documentation, certified payroll tracking, and Section 3 requirements to meet project-specific standards.

• Oversee field office operations by maintaining visitor logs, ensuring an organized and detail-oriented workspace, and coordinating supplies and meeting materials.

• Foster a positive and detail-oriented office culture, organizing team-building activities and ensuring a welcoming environment for both staff and visitors.

• Participate in staff meetings, prepare minutes, and support the planning and execution of critical team events.

• Coordinate with trades to track compliance and gather necessary documentation for payment processing and project draw submissions.

• Support the preparation and assembly of draw backup materials, including lien waivers and documentation for stored materials.

• Proven experience managing timelines and schedules within construction projects.
• Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.
• Familiarity with contractual billing processes and compliance requirements within the construction industry.
• Proficiency in master scheduling and project management tools.
• Experience with field operations and administrative processes within construction environments.
• Knowledge of construction industry standards and practices.
• Ability to manage labor compliance documentation, including certified payroll and Section 3 requirements.
• Strong communication skills to collaborate effectively with team members, subcontractors, and vendors.
