Duties and Responsibilities
Schedule & Progress Tracking
- Baseline Development: Collaborate with the project team to develop and maintain the master project schedule, identifying critical paths and milestones.
- Progress Monitoring: Consistently evaluate physical progress on the construction site against the baseline schedule.
- Variance Analysis: Identify schedule slippages or inefficiencies and provide actionable recommendations to resolve bottlenecks.
Key Responsibilities
Executive Support & Administration
- Calendar & Travel Management: Coordinate complex calendars across multiple time zones, schedule meetings, and organize comprehensive travel and site-visit itineraries. [1, 2]
- Gatekeeping: Screen and prioritize incoming emails, calls, and correspondence, acting as the primary point of contact for clients, architects, and internal teams.
- Reporting: Prepare professional presentations, expense reports, meeting agendas, and meeting minutes with strict attention to detail.
Project & Operations Coordination
- Documentation Management: Maintain and organize confidential fit-out proposals, contracts, project blueprints, and compliance/licensing documents.
- Stakeholder Liaison: Facilitate smooth communication between site project managers, subcontractors, suppliers, and the executive office.
- Tracking Deliverables: Monitor project deadlines and action plans, proactively following up with department heads to ensure targets are met.
- Vendor & Procurement Assistance: Assist in coordinating with material suppliers, tracking delivery schedules, and handling basic procurement paperwork
Qualifications & Requirements
- Experience: Minimum of 2–4 years of experience providing executive support, ideally within the construction, interior fit-out, or engineering industry.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with MS Project, AutoCAD, or digital project management tools (e.g., Asana, ClickUp, Trello) is highly advantageous.
- Industry Knowledge: A basic understanding of construction phases, contracting terminology, and fit-out processes.
- Soft Skills: Exceptional organizational and multitasking abilities, strong conflict resolution, and the ability to maintain absolute confidentiality.
Female candidates are preferred. Candidates who can speak Arabic will have an added advantage.
Pay: AED4,000.00 - AED7,000.00 per month
