Job Purpose: Associate - Project Coordinator is responsible for providing vital support in the day-to-day management and execution of projects, assisting with meeting coordination, progress tracking, documentation, and vendor management. This role ensures that all administrative, logistical, and coordination tasks are handled efficiently, allowing the Project Coordination team to focus on high-level decision-making and strategic oversight, ultimately contributing to the timely and successful completion of the project.

Responsibilities

Meeting and Coordination Support:

Assist in organizing kick-off and review meetings, ensuring all necessary stakeholders are aligned and action points are clearly communicated for execution.

Support the project coordination team by ensuring follow-up actions are carried out, and keeping records of all meetings and decisions for reference.

Vendor And Subcontractor Liaison

Help coordinate with vendors and subcontractors, ensuring that all resources and materials are available on-site as per the project schedule.

Track and report vendor progress, escalating any delays or issues to the Project Coordinator for timely resolution.

Document And Reporting Assistance

Provide support in the preparation of weekly and monthly reports, assisting with cost tracking, variations, and reporting project progress.

Help maintain accurate records of procurement, delivery schedules, and site activities, ensuring all documentation is up-to-date and accessible.

Site Execution Support

Assist in tracking the mobilization of contractors on-site and ensure that any installation or commissioning issues are escalated for resolution.

Support the project team in ensuring the timely execution of site setup and that all materials are procured and delivered according to schedule.

Invoice Tracking And Follow-ups

Help monitor and track the status of vendor invoices, ensuring that they are processed correctly and promptly, with any discrepancies flagged for review.

Assist in the management of payment processing, ensuring that all invoices are aligned with the project’s financial and budgetary requirements.

Resource Allocation and Tracking:

Support in tracking the allocation of resources and monitoring the completion of project milestones, ensuring that the site team has the necessary resources to maintain progress.

Help prepare detailed project schedules, updating status reports regularly to ensure the project timeline stays on track and delays are promptly identified.

Qualifications

Educational Background:

Bachelor's Degree in Engineering, Construction Management, Project Management, or related field.

Work Experience

5-7 years of experience in project coordination or project management, preferably in construction, engineering, or a related industry.
