Role Overview

The Project Coordinator supports the organization and day-to-day operational flow of Studio 7 projects from concept through installation.

This entry-level role is designed for a developing design professional or operations-focused coordinator with strong organizational skills and an interest in project execution. The position supports project schedule generation and tracking, vendor and client coordination, installation logistics, and internal documentation under the direction of the Design Portfolio Manager and Senior Designers.

This role does not serve as project lead but plays an essential support function in ensuring projects remain organized, proactive, and aligned with Studio 7 standards.

Key Responsibilities

Project & Schedule Support (Primary Focus)

  • Maintain and update project tracking documents and schedules under supervision.
  • Proactively monitor key dates, delivery timelines, and installation milestones.
  • Continuous follow up with vendors and internal team members to receive timely status updates.
  • Escalate timeline or coordination concerns to the Design Portfolio Manager.
  • Assist in preparing monthly project status updates to clients.

Vendor & Client Coordination Support

  • Serve as a coordination point for third party vendor scheduling, delivery timing, and site logistics under leadership guidance.
  • Support clear and professional communication between design team, vendors, and clients.
  • Continuous follow up with internal (procurement) team in tracking returns, exchanges, and delivery issues and reporting timely updates to project leads.
  • Maintain organized documentation of vendor and client communication.
  • To build, organize, and continuously update a centralized directory of trusted vendors, suppliers, and service providers for easy access and future use.

Installation Logistics Support

  • Coordinate installation scheduling and confirm vendor arrival times.
  • Assist in confirming site readiness prior to installation days.
  • Provide on-site installation support in collaboration with Senior Designers, as required. This role includes participation in a minimum of four on-site installations per calendar year.
  • Support the documentation of installation progress, contribute to post-installation reporting, and track and organize follow-up action items to ensure timely resolution.

Administrative Support to Principal Designer

  • Assist with scheduling and coordination of new business meetings and leadership meetings.
  • Support calendar coordination related to business development activities.
  • Assist with monthly American Express reconciliation and expense organization.
  • Provide additional administrative support as needed to ensure smooth studio operations.

Professional Growth & Development

  • Develop foundational project coordination and communication skills within a luxury design studio.
  • Gain exposure to the full project lifecycle from planning through installation.
  • Strengthen organizational discipline, vendor fluency, and operational reliability.
  • With demonstrated consistency and initiative, may take on increased responsibility and limited project ownership over time.
  • Promotion to Specialist or Project Manager considered upon successful independent management of a small project and demonstrated readiness for expanded client-facing responsibilities.

Qualifications

The ideal candidate must demonstrate a proactive approach to task management, possess strong critical thinking and practical judgment, be quick to learn, collaborative in nature, and have a clear understanding of - or a strong willingness to learn - the full design lifecycle.

  • 1–2 years of experience in an interior design studio, project coordination role, or related professional environment required.
  • Strong organizational and time management skills with the ability to manage multiple active priorities.
  • Clear, professional written and verbal communication skills.
  • Maintaining sound judgment in all client-facing interactions and exhibiting a composed and professional demeanor when engaging with high-profile clients,
  • Technologically savvy with a strong aptitude for learning new systems, and capable of maintaining accurate tracking tools and documentation.
  • High attention to detail and consistent follow-through.
  • Collaborative mindset and eagerness to grow within a boutique luxury studio environment.

Education and Experience:

  • Bachelor’s degree or Certification Training in Business, Project Management, or related field preferred but not required. Equivalent professional experience will be considered.
  • Demonstrated proficiency in Microsoft Office, including PowerPoint, Word, Excel, and Project Management Software (AirTable Preferred)

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
  • Must be able to distinguish between colors

Pay: $55,000.00 - $70,000.00 per year
