Overview
A private single family office based in Dubai is looking for a sharp, self-driven Project
Coordinator to support a portfolio of high-end residential and hospitality projects. This is not
a passive support role - we want someone who takes ownership, thinks independently, and
drives things to completion without needing to be chased.
You will work directly with the Principal and Head of the Family Office across an active
pipeline that includes a personal luxury villa, a joint venture investment villa with a premium
developer targeting completion in two years, with the scope to take on more projects as your
role grows and you demonstrate an ability to deliver.

What You'll Be Doing
Project Ownership & Delivery
- Take end-to-end responsibility for tracking and driving progress across active projects
- from procurement to site completion.
- Coordinate contractors, consultants, suppliers, and vendors - keeping everyone
accountable and aligned.
- Maintain clean documentation: schedules, trackers, meeting minutes, and progress
reports.
- Flag risks early and come with solutions, not just problems.
Design & Procurement Coordination
- Review and cross-check architectural and interior design drawings, material
specifications, and finish schedules.
- Manage procurement pipelines - track orders, deliveries, approvals, samples, and
mock-ups across multiple projects simultaneously.
- Ensure design intent translates accurately on site; push back when it doesn't.
Site Oversight
- Conduct regular site visits to monitor workmanship, quality of finishes, and
construction progress.
- Identify and resolve coordination issues on the ground.
- Ensure execution meets agreed specifications and timelines.
Market Intelligence & Advisory Support
- Provide informed input on materials, finishes, suppliers, and market trends relevant
to luxury residential and hospitality development.
- Research comparable projects, international references, and emerging concepts that
may be relevant to the Principal's hospitality pipeline.
- Bring ideas to the table - not just task execution.
What We're Looking For
- Bachelor's degree in Architecture, Interior Design, or a related field.
- 1–4 years of experience in a design, project coordination, or site-based role (quality
and attitude matter more than years).
- Proficiency in project specific programmes or equivalent; comfortable with MS Office
for reporting and tracking.
- Proficiency in using AI to drive forward efficiencies in internal processes.
- Strong design sensibility and a genuine eye for quality, detail, and luxury finish
standards.
- Excellent communicator - clear, confident, and professional across all stakeholders.
- Commercially aware - understands the Dubai real estate and luxury market.
- Highly organised, proactive, and comfortable managing multiple moving parts at
once.
- Able to work independently, take full ownership of tasks, and be trusted to get things
done.
