Job Purpose
To support the planning, execution, monitoring, and close-out of construction projects by coordinating resources, documentation, communication, and logistics. The role ensures timely, within-budget, and quality project delivery.
Key Responsibilities & Duties
Project Planning & Scheduling
- Assist in developing detailed project schedules, work breakdown structures (WBS), milestones, and timelines in coordination with the Project Manager.
- Coordinate with subcontractors, vendors, and suppliers to align their deliverables and schedules with the master plan.
- Monitor and update the project schedule as work progresses; flag delays, conflicts, or deviations.
- Ensure task completion within defined timelines and escalate issues when needed.
Coordination
- Track resource requirements (labor, materials, equipment) and coordinate procurement/purchasing with the contracts or procurement team.
- Liaise with suppliers and subcontractors to ensure timely delivery, quality, and compliance with specifications.
- Maintain inventory of materials on site; ensure materials are stored, tracked, and handled appropriately.
- Enhance coordination between internal teams and vendors to minimize delays.
Communication
- Serve as point of contact for internal teams (design, engineering, site, procurement).
- Organize and facilitate project meetings (kickoffs, progress, coordination, site meetings), prepare agendas, record minutes, and follow up on action items.
- Provide regular status reports (progress, cost, risk) to the Project Manager and senior leadership.
- Strengthen communication across all teams to ensure clarity and avoid duplication of effort.
Task Completion
- Maintain all project documentation: contracts, change orders, RFIs (Requests for Information), submittals, drawings, permits, as-built records, site diaries, quality checklists.
- Ensure version control, distribution, and archiving of project documents.
- Generate progress reports, dashboards, and performance metrics.
Quality, Safety & Compliance
- Assist in executing quality assurance / quality control (QA/QC) processes on site (inspections, testing, non-conformance reports).
- Monitor compliance with safety standards, site rules, regulatory & statutory requirements, and company policies.
- Escalate safety or compliance issues to management for prompt resolution.
Identify & Remove bottlenecks
- Identify project risks, bottlenecks, or issues and propose mitigation strategies or alternative solutions.
- Monitor and follow up on issue resolution, change requests, or delays.
- Maintain a risk & issues log and update it periodically.
- Identify & remove bottlenecks proactively to keep workflows smooth

Qualifications
- Bachelor’s degree (or final year student) in Civil Engineering, Construction Management, Project Management, or a related discipline.
- Knowledge of project management methodologies (WBS, scheduling, procurement, QA/QC) will be preferred.
- Proficiency in MS Office (Word, Excel, PowerPoint); knowledge of project management software (MS Project, Primavera, or similar) is a plus.
- Prior internship or academic project experience in construction/project coordination will be an advantage.
