We are seeking a highly organized, proactive, and detail-oriented female Project Coordinator with excellent communication and soft skills. The ideal candidate will have an engineering background and strong knowledge of project coordination, documentation control, and construction workflows. She will support the Project Manager in planning, organizing, and monitoring project activities to ensure smooth project execution and timely completion.
Key Responsibilities
Project Planning & Coordination
- Assist the Project Manager in planning, organizing, and coordinating all project activities.
- Prepare, update, and monitor project schedules to ensure timely completion of works.
- Coordinate daily communication between the client, consultant, contractor, and internal departments.
- Follow up on meetings, site inspections, approvals, and pending tasks to ensure smooth workflow.
Documentation & Reporting
- Maintain and control all project documentation, including drawings, RFIs, submittals, material approvals, and correspondence.
- Prepare daily, weekly, and monthly progress reports, meeting minutes, and project status updates.
- Track project progress and highlight potential risks, delays, or issues requiring corrective action.
- Support the site team in maintaining quality and safety documentation.
Procurement & Resource Coordination
- Coordinate with the procurement team for timely material submittals, approvals, and deliveries.
- Monitor manpower, equipment usage, and subcontractor performance for efficiency and cost control.
Technical & Site Support
- Ensure site activities comply with project specifications, quality standards, and safety regulations.
- Coordinate among civil, MEP, and architectural disciplines throughout all project stages.
- Follow up on consultant comments and ensure timely compliance and resubmissions.
- Participate in site coordination meetings and provide updates to management.
- Assist in preparing payment applications, variation claims, and cost tracking reports.
Authorities & Approvals
- Coordinate with local authorities such as Dubai Municipality, DDA, and Nakheel for required submissions and approvals.
- Ensure all authority requirements are fully met and updated.
Project Close-Out
- Assist in preparing as-built drawings, O&M manuals, and handover documents.
- Ensure completion of snagging, testing, and final inspections before project handover.
Qualifications & Experience
- Bachelor’s degree in Civil Engineering or a related field.
- Minimum 1–3 years of experience in civil construction projects, preferably within the UAE.
- Strong understanding of construction processes, project coordination, and documentation control.
- Good knowledge of authority approval procedures (Dubai Municipality, DDA, Nakheel, etc.) is an added advantage.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and working knowledge of MS Project or Primavera.
- Excellent communication, interpersonal, and soft skills to coordinate effectively with all project stakeholders.
- Strong organizational and multitasking abilities with high attention to detail.
- Ability to work under pressure and meet tight deadlines.
- Knowledge of health, safety, and quality standards in construction.
- Team-oriented, proactive, and capable of taking initiative with minimal supervision
