About the Company

Our client is a state-owned oil and gas exploration and production company in Dubai, United Arab Emirates.

It operates under the jurisdiction of the Government of Dubai and focuses on upstream oil and gas activities, including the exploration, extraction, and production of hydrocarbons such as oil and associated gas.


Duties and Responsibilities

1. Delivery Follow-up & Status Reporting

  • Follow up on all deliveries by contacting vendors to ensure materials are delivered on time.
  • Prepare detailed reports reflecting the accurate and current status of all Supply Orders.
  • Expedite project materials, provide status reports, attend review meetings with End Users, and update material delivery progress.

2. Delay Management

  • Mitigate supplier delays or late deliveries and reschedule as necessary.
  • Report justifications for delays to the Procurement and Warehouse Manager and inform relevant End Users of potential and actual delays.

3. ERP & Reporting Compliance

  • Monitor and update the WEBADI Report with up-to-date records from the Company’s ERP system (Oracle) to ensure accurate tracking of material and equipment deliveries.
  • Review reports issued by Freight Forwarders or suppliers to confirm that updated information is reflected in the WEBADI Report and can be communicated to End Users.

4. Vendor Oversight & Compliance

  • Ensure vendor compliance with all Supply Order requirements, including inspection, shipping, packing, marking, and delivery notification.
  • Monitor and review vendor manufacturing and fabrication schedules, liaising closely with End Users, the Freight Team, and the Warehouse.
  • Organize supplier meetings to evaluate performance and share outcomes with the Procurement team.

5. Documentation & Coordination

  • Obtain and provide packing lists, export documentation, and commercial invoices from vendors to the Freight Team.
  • Coordinate with End Users, the Freight Team, and the Warehouse to ensure smooth and compliant processing of materials.

6. Additional Support

  • Assist with other supply chain–related tasks as directed by the Procurement and Warehouse Manager.


What are we looking for?

  • 5+ years’ experience in a similar role.
  • Oil and Gas or construction sector experience preferred.
  • Working experience with Oracle or a similar major Enterprise Resource Planning (ERP) system.
  • Proactive and action-oriented, with a high initiative level and drive.
  • Strong oral and written English communication skills.
  • Proficiency in Microsoft Office suites: Word, Excel, PowerPoint, and Outlook.
