Here’s who we're looking for

You’re a confident communicator with an unnerving attention to detail, balanced by the ability to see the big picture, and extraordinary organizational skills. You have strong intuition when it comes to the needs of clients and project teams, and you’re willing to jump in and help out whenever and wherever possible.


You're an innovative thinker who understands the imagination inherent to our work while making sure that it gets done on time and on budget. You delight in collaborating with the team to ensure that the process for each project is based on objectives, people, budget, and time constraints–and you ensure everyone involved understands the process and goals.


As Project Manager, you are responsible for monitoring and managing scope, timeline, budget, and risk for client projects. You are the conductor, keeping all communication channels open and flowing while keeping the team on time and on budget.


You believe that the best outcomes are achieved when clear communication is coupled with a thoughtful and measured approach. Project and team health and performance are of utmost importance to you, ensuring all team members have access to what they need to complete their work.


Primary Responsibilities

  • Manages schedule, scope, budget & risk against project agreements
  • Creates project onboarding documents & onboards project team in collaboration with the Business Development team and Account & Creative Directors
  • Defines detailed project schedule in collaboration with project team
  • Sets up project tools and documentation
  • Creates agendas for all major client meetings and workshops in collaboration with project team and communicates these to the client
  • Schedules all client-facing and internal meetings and workshops
  • Schedules stakeholder & external research interviews
  • Documents and shares meeting notes
  • Ensures that project deliverables are posted and shared with clients
  • Collaborates on the creation of new project estimates and agreements
  • Manages project invoicing with Accounts Payable team
  • Arranges project travel and accommodations
  • Coordinates project logistics with internal team members, outside contractors, and vendors
  • Collaborates with the Project Management team to develop, evolve and document Project Management processes and standards
  • Occasional travel required

Key Qualities

  • 1-3 years experience as a project manager or similar role at a design studio / agency.
  • Proactive, direct, and empathetic communicator
  • Employs an optimistic approach to project planning
  • Nimble and creative in conflict resolution
  • Decisive
  • Collaborative
  • Advanced skills with Google Sheets or Excel
  • Experience with web-based project management software like Basecamp, Harvest, Forecast, Jira, etc.
  • Experience with agile software practices a plus
  • Basic understanding of ADA compliance
  • Respect and strive for diversity, inclusion and equity both at work and in your work

Expectations

This application will be open until September 15, 2022 for you to apply and for us to review your application. All interviews will be via video chat, with the Executive Director of People, and Executive Director of Operations We generally do 2-3 rounds of interviews, but when we reach out, we’ll let you know what to expect along the way. Our goal is to make an offer in September with a start date in October.


This position is ideally filled by a candidate in the Chicago area or open to relocating, though we operate as a hybrid team. Despite the preference for a local candidate, we welcome and encourage applicants outside of Chicago to apply. We also ask that only applicants located in and legally able to work in the United States apply.


Pay & Benefits

We ask a lot of our people—but we give a lot, too. We offer a competitive salary in the range of $85,000 - $115,000 for this role and full health benefits, matching 401k, unlimited time off and other paid leaves to support individual or family needs, flexibility in work schedule and location, and an inclusive and inspiring work environment.
