We’re looking for a Project Manager who thrives in ownership, leads with clarity, and ensures every project is executed with precision, on time, on budget, and aligned to the defined vision and scope. Role Overview:

The Project Manager is the primary owner of project delivery from design stage through implementation stage, ensuring the successful execution of learning environments aligned to the defined vision, scope and guiding principles.

This role takes defined strategy, pedagogy, and design intent and drives them through disciplined execution. The Project Manager leads the implementation of each engagement, ensuring projects are delivered on time, on budget and aligned to the intended student-centered outcomes.

The Project Manager serves as the central point of accountability for execution, coordinating stakeholders, managing risk, and maintaining alignment across all stages of delivery. The Project Manager does not merely track projects, they orchestrate outcomes across disciplines, partners and timelines.

The Project Manager assumes full ownership at the start of the Design Stage, following the collaboration stage, and is accountable for all aspects of the execution through project completion and closeout. This includes ownership of quoting, procurement, order management, and coordination through installation. The Project Manager works in partnership with the Senior Project Manager to ensure continuity from the vision through execution.

Key Responsibilities:

Project Execution & Planning

  • Translate approved design and scope into detailed execution plans.
  • Ensure all project inputs are complete, accurate, and ready for downstream processes (quoting, ordering and installation).
  • Build and manage project workplans, schedules, and milestones
  • Coordinate internal and external teams to deliver on project outcomes
  • Preserve design intent and learning outcomes throughout execution

Client Leadership & Communication

  • Serve as the operational face of Kay-Twelve during execution
  • Lead proactive communication with clients and stakeholders
  • Guide decision-making with clarity and confidence

Cross-Functional Coordination

  • Align all stakeholders to a single execution plan, including:
  • Learning Space Integrators (LSIs)
  • Senior Project Managers
  • Designers
  • Procurement & Installation Teams
  • Vendors and Consultants
  • Partner with Senior Project Manager to ensure execution aligns with original vision and guiding principles.
  • Lead internal alignment meetings and reporting

Scope, Financial & Execution Control

  • Own development and accuracy of project quotes, budgets, and pricing alignment.
  • Translate scope into detailed purchase orders and procurement plans.
  • Ensure all products and services are accurately specified, ordered, and delivered.
  • Ensure accuracy of scope, pricing, and procurement alignment
  • Manage budgets, forecasts, and financial performance
  • Proactively manage change orders, contingencies, and scope shifts
  • Protect both project margins and client outcomes

Execution & Order Management Accountability

  • Own the full quoting, ordering, and procurement lifecycle.
  • Ensure all required information is complete and ready for processing before submission.
  • Coordinate with Project Quality Facilitator (PQF), vendors, and internal teams to move orders efficiently.
  • Track and manage order status, delivery timelines, and installation readiness.
  • Proactively resolve delays or gaps before they impact the project.

Risk & Issue Management

  • Identify and mitigate risks early (schedule, financial, operational)
  • Solve problems quickly and professionally
  • Escalate with solutions, not just problems

Team Leadership

  • Lead and support cross-functional project teams
  • Provide direction, accountability, and support to ensure team members deliver on commitments.
  • Foster a collaborative, high-performing environment

What You Bring:

  • 5 to 10 years managing complex furniture projects in:
  • Educational Planning
  • Architecture
  • Construction
  • Facilities Planning
  • Learning Environment Design
  • Demonstrated ownership of multi-stakeholder project delivery.
  • Demonstrated experience managing procurement, vendor coordination, and order execution with complex projects.
  • Experience translating conceptual vision into executed environments.
  • Proven ability to manage timelines, budgets and stakeholders simultaneously.

Preferred Certifications:

  • ALEP - Accredited Learning Environments Planner (A4LE)
  • EdSpaces ECLPS / Eclipse Certification
  • PMP Or equivalent project leadership training

Job Details

Location: Remote / Work from Home

Pay: $68,000 to $85,000 a year (Salary based on region)

Job Type: Full

Travel Requirements: Frequent and/or overnight travel is required (Primarily for site visits and client implementation milestones).

Education: College Degree, or work experience equivalent is required.

  • Project management accreditation a plus, PMP certification.
