Project Manager & Executive Assistant to the Managing Director (French-speaking) Location: Dubai, UAE (on-site; occasional travel as required) Reporting to: Managing Director (MD) Role Summary We are hiring a high-impact French-speaking Project Manager who also serves as Executive Assistant to the Managing Director. This role blends project delivery, operational coordination, and executive-level support. You will drive strategic and client/internal initiatives from planning through execution, ensure priorities are tracked to completion, and act as the MD’s right hand - managing the MD’s agenda, communications, follow-ups, and key stakeholder coordination. This is an ideal role for someone who is highly organized, commercially aware, confident with senior stakeholders, and thrives in a fast-paced environment. Key Responsibilities A) Project Management (Primary) • Lead end-to-end delivery of cross-functional projects: scope, timelines, resources, milestones, and risks. • Build and maintain project plans, RAID logs (Risks, Assumptions, Issues, Dependencies), and progress dashboards. • Drive project governance: agendas, status updates, meeting facilitation, and action tracking. • Coordinate internal teams and external partners to ensure on-time, on-budget delivery. • Anticipate bottlenecks and proactively propose solutions; escalate effectively when needed. • Support implementation of operational improvements and standard processes across the business. • Prepare project materials: proposals, presentations, reports, and executive summaries. B) Executive Assistant to the MD (Core) • Manage the MD’s calendar, priorities, and meeting logistics; ensure effective time management. • Prepare briefing packs for meetings: background, key facts, talking points, and next steps. • Draft and manage professional correspondence in French and English (emails, letters, memos). • Act as a gatekeeper and liaison: coordinate with clients, senior leaders, and key stakeholders. • Track MD action items and ensure follow-through across teams; maintain an “MD priorities” tracker. • Organize travel, itineraries, and expenses as required; ensure smooth end-to-end coordination. • Handle sensitive information with strict confidentiality and discretion. C) Business Support & Operations • Support the MD on strategic planning and quarterly/annual priorities (OKRs/KPIs). • Produce concise management reports and operational dashboards. • Support client engagements: meeting scheduling, deliverable tracking, and stakeholder updates. • Assist in vendor coordination, documentation, and general office/admin processes when required. Required Qualifications & Experience • Bachelor’s degree (Business, Management, Engineering, or relevant field preferred). • 5–8+ years experience in a Project Manager / Program Coordinator / Chief of Staff / EA to senior executive role (combined experience is ideal). • Demonstrated experience managing multiple projects simultaneously with proven delivery outcomes. • Strong command of project management tools and methods (Agile/Waterfall; project plans, timelines, reporting). • Proficiency in Microsoft Office (especially PowerPoint and Excel); experience with tools like Asana, Monday.com, Jira, Trello, or Notion is an advantage. Language Requirements • Fluent French (written and spoken) – mandatory • Professional English – mandatory (Dubai-based stakeholder environment) Key Skills & Competencies • Exceptional organization, prioritization, and attention to detail. • Clear, confident communicator with executive presence. • Strong stakeholder management; able to influence without authority. • High discretion, integrity, and maturity in handling confidential matters. • Proactive problem-solver with a “get it done” mindset. • Ability to work under pressure, manage shifting priorities, and maintain calm execution. • Strong writing and presentation skills; able to create executive-ready documents fast. Key Deliverables (First 90–180 Days) • A clear, reliable cadence for project governance (weekly updates, dashboards, decision logs). • Improved MD effectiveness through strong prioritization, briefing packs, and follow-up discipline. • Projects delivered predictably with risks identified early and managed proactively. • Streamlined communication flow across stakeholders with fewer bottlenecks and surprises. • Trusted “right-hand” relationship established with the MD and key internal/external partners. Nice-to-Haves • Experience in Dubai/UAE or GCC business environments. • Exposure to consulting, professional services, family office, or fast-growth SMEs. • Basic finance/commercial acumen (budgets, invoices, vendor management).
