Position Summary:

The Project Specialist is responsible for taking lead on planning, developing, managing, and implementing outpatient case management program specific special projects. This includes gathering requirements for the special project through direct interface with the leadership team, other employees within the Outpatient Case Management department, other departments within the company, clients, vendors and administration, as well as occasional workload delegation. This position will assist with creating project outlines, project tracking, regular reporting of project progress, identification of obstacles/barriers, and problem shooting projects to better achieve department goals. The project specialist may assist in department audits; assist with time and resource management throughout the development cycle of the special project; work closely with operations teams to plan, perform, and maintain special products; track project deadlines and hold accountable to meet all deadlines; monitor project progress and outcomes of special projects; provide oral and written presentations as requested to share special projects with other departments and external entities. Reports directly to the Manager/Supervisor of Outpatient Case Management.

Essential Duties and Responsibilities include the following:

  • Take the lead in management of program specific special projects.
  • Coordinate the activities of personnel involved in the department and implementation of special projects.
  • Confer with Outpatient Case Manager, Coordinator Team Lead, Director, Vice President, and Senior Medical Director to determine basic departmental policies and operating procedures and coordinate implementation.
  • Assess departmental priorities and objectives and makes action recommendations.
  • Analyze departmental and program specific data.
  • Conduct and interpret complex studies and prepare reports.
  • Conduct audit projects on the OPCM & OP TOC and NOMNC
  • Interact professionally with other healthcare service providers.
  • Call members for project-specific needs (ex: CCM/TOC).
  • Provide back up to the Outpatient Coordinators, as needed.
  • Assists Outpatient Case Manager(s) with arranging services for members, such has home health, DME, physician appointments, specialist appointments, and transportation.
  • Follows up with patients to ensure arranged services are received.
  • Maintains turnaround time compliance in all aspects of the case management Standards of Operation.
  • Provide regular reporting of projects and employee production.
  • Maintain spreadsheets and data bases that track projects.
  • Communicate appropriately and clearly to management and co-workers.
  • Consult other departments as appropriate to provide for an interdisciplinary approach.
  • Participate in the efficient, effective, and responsible use of resources such as supplies and equipment.
  • Maintain all reference material that is provided by the supervisor, manager or director.
  • Know and follow the Employee Handbook policies and procedures.
  • Strong knowledge of computer programs, including Excel, and company resources.
  • Assists other staff and supports the team approach.
  • Demonstrates the ability to follow through with requests, sharing of critical information, and getting back to individuals in a timely manner.
  • Demonstrates honesty and integrity in everyday activities.
  • Protects privacy for both patients and employees; ensuring all personal health information is kept confidential i.e., (sensitive papers, charts, and reports are not in view of the public).
  • Recognizes when an error has been made and immediately reports to appropriate manager.
  • Participates in “service recovery” through follow-up with an upset member, gathering information, and demonstrating empathy.
  • Treats members and their families with respect and dignity.
  • Functions as liaison between administration, members, physicians, and other healthcare providers.
  • Interacts professionally with other healthcare service providers.
  • Communicates appropriately and clearly to management, co-workers, and physicians.
  • Consults other departments as appropriate.
  • Participates in the efficient, effective, and responsible use of resources such as supplies and equipment.
  • Must assist team in case load as needed.
  • Must not have abandoned calls.
  • Timely fax server review and clearance.
  • Attend meetings timely and participate with constructive feedback.
  • Have a ‘Can Do' attitude.
  • Be Proactive in anticipating the needs of the department.
  • Create an open communication environment by asking questions when in doubt.
  • Reporting if there are system issues that affect productivity.
  • Follows company policy.
  • Remains flexible and open to process changes and updates.

  • Problem Solve using resources and innovative ideas.
  • Performs other duties as assigned

The pay range for this position at commencement of employment is expected to be between $25- $28 per hour; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, licensure, skills, and experience.

The total compensation package for this position may also include other elements, including a sign-on bonus and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered.

Requirements:

Education and / or Experience:

  • Bachelor's degree or equivalent work experience in the healthcare industry.
  • 2 years' experience in related area. Knowledge of Healthcare and Managed Care preferred.
  • Typing 60 words per minutes with accuracy.
  • Knowledge of computers, faxes, printers and all other equipment.
  • Proficient in MS Office programs (i.e., Word, Excel, Outlook, Access and Power Point).
  • Excellent communication skills and ability to work in a team atmosphere.
  • Ability to work in a multi-task, high stress environment.
  • Strong analytical and problem solving capabilities.
  • Highly motivated, proactive personality.
  • Leadership skills

Compensation: $25-$28 /hour
