Property Administrator

Job Purpose

To provide administrative and coordination support for the day‑to‑day management of residential and commercial properties, ensuring accurate tenancy documentation, timely rent collection follow‑up, and professional service to tenants and owners in line with company policies and Qatar regulations.

Key Responsibilities

1. Tenancy & Lease Administration

  • Prepare, format, and update tenancy contracts, addendums, renewals, and notices as per approved templates and Qatar regulations.
  • Maintain up‑to‑date tenancy records, contract copies, QID/passport details, and supporting documents in both physical and digital files.
  • Track lease start/end dates, renewals, terminations, and rent increases, and ensure timely notification to tenants and management.
  • Coordinate the contract signing process, collection of required documents, and proper handover of keys/access cards.

2. Rent Collection & Financial Coordination

  • Prepare rent invoices, renewal invoices, and other tenant charges as per lease terms.
  • Coordinate with accounts on rent receipts, bounced cheques, delayed payments, and update tenant payment status in the system.​
  • Maintain updated rent roll, deposit registers, and basic revenue reports for the Management.

3. Tenant Relations & Customer Service

  • Act as first point of contact for tenant enquiries related to contracts, payments, and general information.
  • Log and route tenant complaints and maintenance requests to the concerned team and follow up until closure, updating tenants on status.
  • Support move‑in and move‑out processes (inspection scheduling with operations, documentation, clearance forms, and deposit refund workflow).

4. Maintenance & Vendor Coordination

  • Receive maintenance requests from tenants, record them, and coordinate with internal maintenance and external suppliers.
  • Follow up on work orders, ensure completion confirmations, and update the property management system and tenant file.

5. Data, Reporting & Compliance

  • Update property management software or spreadsheets with unit status, tenancy details, and financial information regularly.
  • Assist in preparing occupancy reports, rent collection status, expiries/renewals lists, and other management reports as requested.
  • Ensure all files and processes are compliant with company policies, lease terms, and applicable laws and regulations in Qatar.

6. General Office & Admin Support

  • Handle calls, emails, and walk‑in enquiries related to available units, viewing appointments, and basic leasing information.
  • Support preparation of marketing documents for properties (unit lists, basic brochures, property information sheets) in coordination with leasing/marketing.
  • Perform general administrative duties such as scanning, filing, preparing letters, NOCs, memos, and internal forms as required.

Qualifications & Experience

  • Diploma or Bachelor’s degree in Business Administration, Real Estate, or a related field (preferred).
  • 2–4 years of experience in property administration, real estate admin, or leasing coordination, preferably in Qatar.
  • Familiarity with Qatar real estate market practices, tenancy laws, and rental procedures is an advantage.​

Pay: QAR1.00 - QAR100.00 per month
