We are seeking a highly organized and detail-oriented Proposal Coordinator to join Netta Architects. Reporting directly to the Marketing Director, the Proposal Coordinator will be responsible for proposal submissions, coordinating marketing data, maintaining the firm’s marketing library, and supporting digital marketing initiatives including social media. This role requires excellent communication skills, strong writing and editing ability, and advanced proficiency in Excel for data tracking, reporting, and analytics.
Key Responsibilities
- Manage the end-to-end proposal process, including RFP/RFQ review, compliance checks, production schedules, and final submission.
- Coordinate with internal teams and consultants to gather technical content, project descriptions, resumes, and other required materials.
- Write, edit, and tailor content to ensure clarity, consistency, and alignment with client requirements.
- Lead proposal closeout activities, including archiving final submissions, documenting lessons learned, updating proposal metrics, and maintaining organized records within the marketing library.
- Use Excel skills (pivot tables, charts, formulas) to manage marketing databases, track proposal outcomes, and generate performance reports.
- Collaborate with the marketing team on graphics, layouts, and visual presentation of proposals to reflect the firm’s brand standards.
- Support and help manage the firm’s social media presence, including drafting and scheduling posts, coordinating content with project teams, and ensuring alignment with branding and marketing goals.
- Demonstrate high energy, creativity, resourcefulness, and an entrepreneurial spirit.
- Remain well-organized with the ability to manage multiple simultaneous deadlines.
- Undertake additional administrative and marketing-related tasks as assigned.
Qualifications
- Bachelor’s degree in Communications, Marketing, English, Architecture, or related field.
- 2–4 years of experience in proposal coordination, preferably in the architecture, engineering, or construction (AEC) industry.
- Excellent writing, editing, and proofreading skills with strong attention to detail.
- Proficiency in Microsoft Excel with the ability to manage, analyze, and present data effectively.
- Strong organizational and time-management skills, with the ability to handle multiple deadlines.
- Proficiency in Adobe InDesign and Microsoft Office Suite (Excel required).
- Familiarity with social media platforms and content management tools (LinkedIn, Instagram, etc.) preferred.
- Ability to work collaboratively with technical staff while also managing independent responsibilities.
Pay: $60,000.00 - $70,000.00 per year
